Job Overview

We are seeking a dynamic and organized Front Desk Associate to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring smooth daily operations at the front desk. Your energetic approach and excellent communication skills will help create a positive environment while managing administrative tasks efficiently. This paid position offers an exciting opportunity to develop your office management skills and contribute to a professional, friendly atmosphere.

Responsibilities

Greet visitors and clients warmly, providing exceptional customer service and guiding them appropriately
Manage multi-line phone systems, answer inquiries promptly, and direct calls to the relevant departments or personnel
Handle front desk duties including scheduling appointments, calendar management, and coordinating meetings
Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems, process incoming and outgoing correspondence, and ensure all records are up-to-date
Support office management activities by assisting with bookkeeping, invoicing, and basic bookkeeping tasks using QuickBooks or similar software
Ensure office supplies are stocked, manage incoming mail, and uphold professional phone etiquette at all times

Qualifications

Proven experience in office management or administrative roles with clerical experience preferred
Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and general technical proficiency
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Exceptional customer service skills coupled with professional phone etiquette and communication abilities
Bilingual capabilities are a plus to assist diverse client needs
Familiarity with office equipment such as multi-line phones, filing systems, and productivity software is essential
Demonstrated time management skills with the ability to multitask efficiently
