Full Job Description

Purpose: The Executive Director of Operations is the Chief Executive Officer of Washington County Harvest of Hope and along with the Board is responsible for the organization’s consistent achievement of its mission. The Executive Director will provide leadership and direction in all Harvest of Hope activities and will directly oversee the day-to-day operations of the organization.

Reports to: Harvest of Hope Executive Committee and Board

Estimated Hours Per Week – 30

Travel: Most work can be done online and by phone remotely, but travel to the Harvest of Hope office (no mileage reimbursement) will be necessary at least three times per week. The Executive Director may request mileage reimbursement for out-of-town travel for required meetings.

Committee Work – While the Executive Director may participate in paid Harvest of Hope committee work, such service shall not exceed an average of five hours per month.

Responsibilities:

Promote and execute the mission of Harvest of Hope
Serve as the primary Harvest of Hope representative within the community, and in collaboration with the Public Awareness Committee work to enhance the organization’s image and profile through speaking engagements, meetings and other activities.
Complete tasks and conduct activities in support of accomplishing the mission of Harvest of Hope and in accordance with the strategic goals established by the Board.
Serve as primary representative to Southeast Ohio Foodbank and Feeding America.
Attend annual meetings for SEOFB.
Hold annual food safety and civil rights training for volunteers.
Maintain records and provide reports to SEOFB as required.
Build and maintain relationships with donors, food donors, meal coordinators, food pantry directors, community partners and other constituents
Identify and solicit new food donors and other sources of food donations
Identify and recommend community partnerships for Harvest of Hope
Maintain a working knowledge of significant developments and trends in the field of food reclamation, community gardening and community meals
Maintain sound financial practices as developed by the Finance Committee
Participate in strategic planning efforts and the annual goal setting process
Seek grant opportunities, verify that Harvest of Hope is in compliance with grant requirements, and complete grant reporting as necessary
Ensure that all internal and external communication channels are functioning well
Work with the Public Awareness Committee to publicize the activities, programs, and goals of the organization
Make site visits and schedule meetings with Harvest of Hope food donors and constituents (food pantries and meal sites) at least once a year and maintain good communication with all.
Hold quarterly volunteer chats to keep volunteers informed.
Keep the Harvest of Hope Board fully informed on the condition of the organization and important factors influencing it. Submit reports of accomplishments, updates, and activities to the Board monthly or as necessary
Attend monthly board meetings and Executive Committee meetings as requested. Meet occasionally with Standing Committees as requested.

3. Oversee and maintain the efficient and effective day-to-day operations of Harvest of Hope

Coordinate, prepare and maintain food recovery pick-up and delivery schedules.
Coordinate driver schedules and arrange for substitutes as needed.
Create and maintain all necessary driver records, insurance updates, contact lists, paperwork, log sheets, volunteer hours, etc.
Maintain records of donated food, poundage, meat distribution, etc.
Prepare monthly reports of food received and distributed, volunteer hours, poundage reports, community meal reports, or other information as needed.
Maintain accurate organizational databases for volunteers, food donors, agencies served, and other constituents.
Maintain good communication through phone, email, texting, or personal contact with volunteers, donors, agencies, board members, etc. and respond in a timely manner to requests.
Pick-up, process and distribute mail as needed and no less than weekly.
Serve as liaison for truck maintenance issues between drivers and truck manager.
In collaboration with the Board, monitor refrigerator/freezer and maintain storage areas at Maple Street location.
Maintain confidentiality and a professional demeanor at all times regarding all matters pertaining to Harvest of Hope and its constituents.
Perform other duties as assigned.

Qualification Requirements

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.

High school diploma or equivalent required. Bachelor’s degree preferred.
Experience in a social service field.
Knowledge of the local service area and available resources.
Excellent communication and interpersonal skills.
Proven organizational skills with the ability to prioritize and utilize effective time management techniques.
Ability to work collaboratively in a team environment.
Strong computer skills; database experience a positive.
Experience in building relationships.
Valid Driver’s License
Safe driving record
Ability and willingness to drive the Harvest of Hope delivery van

Ability to:

Operate and make assessments in a stressful environment.
Work independently.
Respect confidentiality at all times.
Respect clients’ beliefs and choices.

Pay: From $18.00 per hour
