Responsibilities

Greet visitors warmly and professionally, providing excellent customer support and assistance
Manage multi-line phone systems to handle incoming calls efficiently, directing inquiries appropriately
Maintain accurate data entry records using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Handle clerical duties including filing, proofreading, calendar management, and document preparation with attention to detail
Oversee office supplies inventory and coordinate office management tasks to ensure a well-organized workspace
Support client communication efforts by providing timely information and responding to inquiries in a bilingual capacity if applicable
Utilize computer literacy skills to perform administrative tasks swiftly and accurately, including data entry and document management

Skills

Proficiency with Microsoft Office suite including Word, Excel (spreadsheets), and other productivity software
Strong organizational skills with the ability to multitask effectively in a busy environment
Excellent phone etiquette and communication skills for professional client interaction
Technical proficiency with office management tools such as QuickBooks or similar accounting software is a plus
Bilingual abilities are highly desirable to serve diverse clientele effectively
Demonstrated clerical experience with data entry, filing, proofreading, and calendar management
Knowledge of office management practices combined with strong time management skills to prioritize tasks efficiently
