Job Summary

We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports a productive workplace. The ideal candidate will possess strong technical proficiency, exceptional organizational skills, and a proactive attitude to foster an inviting and well-managed office space. As the backbone of our administrative team, you will coordinate various functions including front desk management, client communication, data entry, and office logistics to help our organization run seamlessly.

Duties

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing excellent customer service with professional phone etiquette
Oversee office management tasks such as supply procurement, filing systems, and maintaining a clean and organized workspace
Utilize productivity software including Microsoft Office (Word, Excel) and Google Workspace for document creation, spreadsheets, and correspondence
Perform data entry and bookkeeping duties using QuickBooks or similar accounting software to ensure accurate financial records
Coordinate calendar management and schedule appointments for staff and clients while handling personal assistant tasks as needed
Support clerical functions such as proofreading documents, preparing reports, and managing client communication with professionalism
Maintain office equipment and technical systems ensuring computer literacy and technical proficiency across all devices and software platforms

Experience

Proven experience in office management or administrative roles with a focus on customer support and front desk responsibilities
Demonstrated proficiency with Microsoft Office Suite (Word, Excel), Google Workspace tools, spreadsheets, and productivity software
Strong computer skills including data entry, file management, and familiarity with QuickBooks or other bookkeeping programs
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are highly desirable to support diverse client interactions
Previous experience in medical or dental receptionist roles is a plus but not required
Knowledge of multi-line phone systems, phone communication best practices, and office technology tools is essential
