Full Job Description

Crescenze Cooling & Heating is a family owned and operated HVAC company serving mainly Stark, Wayne, and Summit counties since 2003 as a five-time Carrier President's Award winner. We are looking for a competent Customer Service/Dispatcher to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. Must be able to communicate with customers over the phone, at time offering upsells, promotions, and maintenance agreements.

Responsibilities

Answer phones quickly, courteously, efficiently while being personable
Organize office and assist associates in ways that optimize procedures
Sort and distribute communications in a timely manner electronically
Create and update records ensuring accuracy and validity of information (QB)
Schedule, reschedule, and plan meetings and appointments (FieldEdge)
Schedule clients for seasonal routine maintenance (Service Agreements)
Ensure that service schedule is kept filled for technician, schedule service calls and maintenance agreements for at least 2 weeks out
Printing, scanning, organizing, faxing, filing, and emailing
Prepare work orders and dispatch field technicians in relation to ability of technician and current location
Schedule install crews appropriately, as needed
Resolve office-related malfunctions and respond to requests or issues
Maintain trusting relationships with suppliers, customers and colleagues
Perform receptionist duties when needed

Skills

Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
Knowledge of computer systems (QB, MS Office, dispatch software-FieldEdge)
Working knowledge of office equipment
Thorough understanding of office management procedures
Excellent organizational and time management skills
Analytical abilities and aptitude in problem-solving
Excellent written and verbal communication skills
Proficiency in MS Office
Understanding and experience in HVAC will help
