Reports to: Deployment Lead / Director of Service

Status: Full-Time

Inventory/Vendor Support

The Inventory & Vendor Support Specialist plays a critical role in ensuring our sales, deployment, service, and support teams have the equipment, resources, and vendor relationships necessary to deliver an exceptional customer experience.

Job Summary

The Inventory & Vendor Support Specialist is responsible for managing inventory operations, vendor relationships, equipment fulfillment, warranty processing, and logistics coordination for Global Business Technologies.

This position ensures that inventory is properly stocked, tracked, and allocated to support customer installations, service calls, onboarding projects, and ongoing account needs.

The ideal candidate is highly organized, detail-oriented, technology-focused, and capable of managing multiple priorities in a fast-paced service environment.

Key Responsibilities

Inventory Management

Maintain accurate inventory records across all GBT locations, technician vehicles, and storage areas.
Perform routine inventory audits and cycle counts.
Investigate and resolve inventory discrepancies.
Track inventory movement through internal inventory systems.
Monitor inventory levels and proactively identify replenishment needs.
Maintain proper stock levels of deployment equipment, replacement devices, and service parts.
Coordinate inventory transfers between departments and locations.

Purchasing & Vendor Management

Submit purchase requests.
Monitor vendor lead times to affected departments.
Maintain vendor contact information.
Build and maintain positive working relationships with vendor representatives.

Deployment & Project Support

Coordinate equipment fulfillment for customer onboarding and deployment projects.
Work closely with Order Coordinators to ensure all required equipment is available before deployment dates.
Collaborate with Staging and Field Services to prepare equipment for installations.
Verify equipment availability for work orders and project schedules.
Assist with deployment logistics and shipment coordination.
Communicate inventory-related project risks proactively.

Warranty & Service Vendor Coordination

Process warranty claims with equipment manufacturers and distribution partners.
Track warranty replacement requests from submission through resolution.
Coordinate repair, replacement, and return merchandise authorization (RMA) processes.
Follow up with vendors to ensure timely resolution of service-related issues.
Maintain accurate warranty and vendor service records.

Shipping & Logistics

Coordinate inbound and outbound equipment shipments.
Maintain shipping records and tracking information.
Coordinate technician equipment allocations and returns.
Assist with customer equipment returns and replacement logistics.
Ensure proper packaging and shipment standards are followed.

Process Improvement & Operational Support

Assist in developing and maintaining inventory-related SOPs.
Participate in cross-functional meetings related to deployments, inventory planning, and service delivery.
Provide reporting and inventory metrics to leadership as requested.

Qualifications

High School Diploma or equivalent
Valid Driver's License
Strong organizational and time management skills
Strong written and verbal communication skills
Ability to lift and move equipment up to 50 lbs.
Bilingual (English/Spanish)

Preferred

1-3 years of inventory, purchasing, logistics, or vendor management experience
Experience working with POS hardware, technology equipment, or field service organizations

Working Conditions

Office-based position located at GBT headquarters
Standard business hours with occasional overtime based on operational needs
Fast-paced environment supporting multiple departments and customer projects
Frequent collaboration with internal teams.
Occasional travel for inventory transfers, vendor meetings, or operational support may be required
