Full Job Description

Position Summary: The Operations Assistant provides administrative and operational support to the Director of Residential Services and helps ensure the day-to-day functions of the department run smoothly. This position serves as a key support role by assisting with scheduling, compliance-related tasks, communication, and coordination of meetings and projects. The Operations Assistant must be highly organized, dependable, and able to manage multiple priorities in a fast-paced environment.

Pay: $18-20 / HR

Essential Duties and Responsibilities:

Scheduling & Staffing Support

Serve as backup to the Scheduler as needed.
Assist with staff scheduling, shift coverage, call-ins, and schedule adjustments.
Help maintain accurate staffing records and scheduling systems.
Communicate scheduling changes to staff and leadership in a timely manner.

Clinical / Medication Support

Serve as backup support to the Nurse for medication check-ins and related coordination.
Help maintain documentation and communication related to medication compliance.
Coordinate with residential teams to ensure timely completion of required med-related tasks.

Administrative & Operational Support

Schedule meetings with stakeholders, staff, families, providers, and community partners.
Prepare agendas, take notes, and follow up on action items when needed.
Organize files, records, spreadsheets, and departmental reports.
Assist with special projects, audits, and operational initiatives.
Handle general correspondence, phone calls, and routine inquiries.
Provide day-to-day administrative assistance to the Director of Residential Services.
Help prioritize tasks, track deadlines, and manage workflow.
Support problem-solving efforts and follow through on assigned action items.

Qualifications:

High school diploma or equivalent required
Previous administrative, operations, scheduling, or office support experience preferred.
Strong organizational and time-management skills.
Ability to handle confidential information professionally.
Strong communication and interpersonal skills.
Proficiency with Microsoft Office, Google Workspace, spreadsheets, and scheduling software.
Ability to multitask and adapt to changing priorities.

Preferred Experience:

Experience in healthcare, residential services, human services, or developmental disability services.
Familiarity with staffing coordination, HR processes, or medication administration systems.

Work Environment: This position is primarily office-based with regular interaction across residential locations, staff teams, and stakeholders. Occasional travel between sites may be required.
