Full Job Description

Practice Manager – Jubilee Integrated Wellness

Jubilee Integrated Wellness is seeking a proactive, organized, and mission-driven Practice Manager to lead our daily operations across both our clinical and farm-based programs. This role ensures the systems, spaces, and people that support our integrative mental health mission are operating smoothly, and sustainably. The Practice Manager will oversee logistics, clinical operations, vendor relations, program launch support, facility care, and staff supervision with a hands-on, problem-solving approach. As Jubilee continues to grow, there may be opportunities for expanded operational leadership responsibilities.

Key Responsibilities

Oversee day-to-day operations of the office-based and farm-based clinical programs.
Supervise on-site staff, including Operations Assistant and Farm Program Coordinator.
Support onboarding coordination for new hires and contribute to team-building and professional development.
Assist with operational workflow and staff scheduling needs, including EHR optimization and troubleshooting.
Collaborate with leadership regarding operational staffing needs.
Support administrative consistency across systems and processes.
Conduct daily check-ins with the CEO to align on priorities.
Manage and optimize budgets for supplies, operational expenses, and new initiatives.
Ensure farm maintenance is scheduled and completed (e.g., mowing, tool organization).
Coordinate operational planning and launch logistics for new programs.
Coordinate and orient external groups utilizing the Jubilee barn and shared facilities.
Maintain functionality and neatness of shared supplies, and common spaces.
Identify and resolve supply chain, infrastructure, or maintenance problems proactively.
Source and manage vendor relationships; negotiate contracts and ensure high-value service delivery.
Ensure clinical and farm sites meet safety standards, Joint Commission and state regulatory standards, and emergency preparedness requirements.
Oversee website updates (photos, bios) and therapist materials (business cards, signage).
Coordinate technology needs, including internet, EHR tools, software subscriptions, and coordination with external IT support when needed.
Support operational coordination related to clinician credentialing, payer enrollment tracking, and healthcare workflow systems.
Support the onboarding of new staff and contribute to team-building and professional development.
Model and promote Jubilee’s values.
Track operational performance indicators and contribute to strategic planning and reporting.
Additional tasks identified by leadership that are within scope

Qualifications

Minimum 3–5 years of practice management, healthcare operations, or behavioral health administration experience required.
Proven ability to lead teams, manage projects, and solve complex logistical problems.
Excellent interpersonal and organizational skills; detail-oriented and flexible.
Comfortable working in both office-based and farm-based clinical environments.
Experience with vendor management, budgeting, and facility oversight.
High familiarity with clinician credentialing, payer enrollment processes, and operational healthcare systems strongly preferred.
Technologically fluent; experience with tools like Google Workspace, Monday, EHR systems, or similar platforms.
Strong alignment with Jubilee’s mission and commitment to equitable, holistic care.

Compensation & Schedule

Compensation: $65,000 annually
Position Type: Full-Time, W2 Exempt Position
Schedule: 40 hours per week; flexible scheduling may be considered based on organizational needs
Location: Hillsborough, NC (hybrid with regular in-person work at both the farm/clinical office and from home)
