Augustine Literacy Project - Triangle has been serving students for more than 30 years. Our mission is to train, place, and support tutors at partner schools to deliver free, one-to-one, science-based literacy instruction to students who need additional support.
ALP’s programs are based on the Orton-Gillingham approach, which incorporates multisensory, direct, explicit, structured, and sequential reading instruction.
Operations Coordinator Position
Purpose
Coordinate the operational systems and processes that keep ALP Triangle's program running smoothly, from recruiting and enrolling new tutors in training to supporting program data, help with donor communications, and day-to-day logistics.
About the Role
ALP-Triangle relies on a strong pipeline of trained volunteer tutors, well-coordinated school site logistics, and accurate program and donor data to deliver high-quality literacy tutoring. The Operations Coordinator plays a central role in making this happen, from managing the tutor recruitment process from first contact through training completion, supporting Student Success Coordinators (SSCs) with data and reporting, and assisting the Development Director with marketing and communications.
This role is well-suited to someone who is highly organized, detail-oriented, and energized by improving how things work. ALP-Triangle is open to this person's input on improving our current processes and systems. If you see a better way to track recruitment data, manage timelines, or streamline communication, we want to hear it!
No prior experience with Pencil Spaces, Bloomerang, Canva, or Mailchimp is required. Training is provided.
Hours, Schedule & Pay
- Hours: 20 hours per week, part-time
- Pay: $25/hr
- Schedule: Flexible, but based on a traditional work week (9-5, M-F). Work can be completed across days and times that fit both the role's needs and the coordinator's availability, with regular check-ins/coordination with the Executive Director and Development Director
- Reporting: Reports to the Executive Director; also supports the Development Director
- Growth opportunity: Potential to evolve into a full-time role with expanded responsibilities, contingent on organizational funding and the coordinator's interest and demonstrated readiness
Job Responsibilities
Tutor Recruitment Pipeline (~30%)
- Posting tutor recruitment opportunities across channels (online platforms, community boards, social media, etc.)
- Managing the recruitment pipeline from initial interest through info session, application, screening, and training completion
- Scheduling and coordinating info sessions and training cohorts
- Tracking recruitment and pipeline data in Google Sheets, and helping identify and implement improvements to this process as ALP grows
- Communicating with prospective tutors throughout the recruitment process
Coordination with Student Success Coordinators (~25%)
- Coordinating with SSCs to ensure timely completion of program data and reporting
- Tracking SSC task completion and following up on outstanding items or deadlines
- Flagging issues, gaps, or concerns to the Executive Director
Program Operations & Support (~15%)
- Managing scheduling and logistics across school sites
- Serving as a sub for SSCs who with unanticipated absences ie illness
- Assisting with other program and operational tasks as needed
Development & Donor Support (~20%)
- Supporting the Development Director with donor database management in Bloomerang, including updating contact records, generating donor lists/reports, and tracking pledge reminders
- Assisting with email newsletters and donor appeals (drafting, scheduling, and sending through Mailchimp)
- Creating materials and communications using Canva and Google Business Suite
- Assisting with other development and administrative tasks as needed
Communications & Social Media (~10%)
- Creating graphics and content for social media using Canva
- Scheduling and posting content across ALP's social media channels
- Supporting general communications needs as they arise
Desired Skills and Background
A successful Operations Coordinator will have most or all of the following:
- Strong organizational skills with high attention to detail
- Comfort learning and managing multiple digital platforms (training provided for Pencil Spaces, Bloomerang, Google Business Suite, and Canva)
- Project management skills: Able to track multiple timelines, pipelines, and deliverables simultaneously
- Growth mindset: Resourceful, with the ability to seek out new skills or knowledge when asked to do something new
- Problem-solving mindset: Able to anticipate issues and troubleshoot independently without waiting to be asked
- Strong written and oral communication skills: This includes tutor-facing correspondence as well as internal communications
- Comfort with data tracking and reporting, and following up with colleagues on deadlines in a collaborative, supportive way
- Interest in identifying and implementing process improvements, including using technology in creative ways to automate systems and improve effectiveness
- Experience with recruitment, volunteer coordination, donor databases, or nonprofit administration is a plus, but not required

Typical Work Week
The Operations Coordinator works 20 hours per week on a flexible schedule and hybrid work environment, balancing recruitment outreach, training coordination, marketing and communications tasks, and general operations work. While the schedule is flexible, the bulk of the work is expected to occur within regular business hours (9-5 M-F) since that is when the ALP team and its partners are most active. Regular check-ins with the Executive Director and Development Director help ensure alignment on priorities and deadlines.
Work Environment & Requirements
- Hybrid role that requires some travel to Durham, so must have reliable transportation
- Occasional evenings or weekends may be required to support program activities, but this is rare
- In-person work generally takes place at ReCity, Durham, or at one of our school sites.
