Full Job Description

Ashland Community Health Foundation (ACHF) is seeking a highly organized, proactive, and personable Administrative Assistant to join our team. This role is central to the day-to-day operation of our organization and requires someone who thrives in a team environment, takes initiative, and embraces the mission of ACHF.

The ideal candidate is as comfortable managing data and spreadsheets as they are picking up the phone to speak with a donor. They anticipate what needs to be done before being asked and take pride in doing things right. This is a full-time, non-exempt position.

Reporting:

The Administrative Assistant reports to the Executive Director.

Key Responsibilities:

Support the board and its committees, schedule meetings, arrange meals when appropriate, prepare and distribute materials in advance and record minutes
Provide logistical support for all events and programs, including guest registration and check-in, venue coordination, catering, photography, and technology needs
Document and track donor relations in the donor database; enter gifts and generate acknowledgement letters
In partnership with foundation staff, support fundraising activities; assist with customized donor materials and ensure donor and engagement activities are well-coordinated
Oversee general administrative operations, process invoices and check requests, order supplies, prepare deposits, and handle post office business
Provide excellent customer service to donors, scholarship applicants, partner organizations, and the broader community; represent the foundation at community events
Participate in the development of the bi-annual newsletter, grant and scholarship award process, and budget and audit process
Serve as the point person for facilities management
Complete other duties as assigned

Work takes place primarily in the ACHF office during business hours. Work may also need to be performed in a variety of locations and environments, including offsite meetings and event locations. Evenings, weekends, and occasional travel may be required. The workday often includes using a telephone and sitting at a computer screen for extended periods. Tasks may require lifting, moving, or carrying objects of about 25 pounds, such as boxes and supplies.
