Full Job Description

Overview
The Float Pool Medical Assistant/Receptionist provides both clinical and administrative support across multiple clinic locations, ensuring efficient operations and high-quality patient care. Serving as a flexible team member, this role functions as the first point of contact for patients and visitors while also assisting healthcare providers with patient care activities. Responsibilities include greeting and registering patients, scheduling appointments, processing co-pays and payments, managing patient intake and medical records, preparing patients for examinations, assisting with clinical procedures, coordinating referrals, and supporting daily clinic workflow. The Float Pool Medical Assistant/Receptionist must demonstrate exceptional customer service, professionalism, adaptability, and the ability to effectively manage multiple responsibilities in a fast-paced healthcare environment while maintaining a welcoming and patient-centered experience. This position requires the ability and willingness to travel to and work at all clinic locations as assigned to meet operational and staffing needs.

Clinical Responsibilities

Prepare patients for examinations and procedures by measuring and documenting vital signs, reviewing the chief complaint, and ensuring the patient is comfortable and informed
Obtain, verify, and document comprehensive medical, surgical, and social histories; accurately update patient records in the Electronic Health Record (EHR) system
Facilitate and process provider-ordered labs, immunizations, imaging, and other diagnostic studies in accordance with clinical protocols and standing orders
Provide clear, compassionate explanations of treatment procedures, medications, and follow-up care instructions to patients and families
Assist healthcare providers during physical exams, in-office procedures, and minor surgeries, ensuring proper setup, documentation, and patient support throughout
Collect, label, and process laboratory specimens (e.g., blood, urine, swabs) following chain-of-custody protocols and infection control standards
Perform basic diagnostic tests including electrocardiograms (EKGs), vision and hearing screenings, and treadmill stress tests, documenting and reporting results as appropriate
Administer medications, vaccines, and injections under provider orders, monitoring for adverse reactions and documenting administration accurately
Maintain clean, well-organized, and fully stocked exam rooms and supply areas; ensure proper sterilization and maintenance of medical instruments and equipment in compliance with infection control policies
Support clinical quality improvement efforts, such as preventive care reminders, chronic disease monitoring, and patient education initiatives
Respond to patient inquiries related to clinical care and escalate concerns to providers as needed
Uphold patient confidentiality, HIPAA compliance, and a culture of safety and respect in all clinical interactions
Perform other related clinical tasks and responsibilities as assigned by providers or clinic management to support overall patient care and clinic operations

Administrative Responsibilities

Greet patients and visitors promptly, courteously, and professionally; verify demographic, insurance, and other required information to ensure accurate billing and recordkeeping.
Answer, screen, and direct incoming phone calls; respond to patient inquiries, relay messages to providers and staff, and assist with triaging calls based on urgency.
Schedule, confirm, reschedule, and cancel patient appointments using electronic scheduling systems while optimizing provider schedules and minimizing patient wait times.
Check in patients, assist with registration and required forms, and provide appointment reminders and pre-visit instructions.
Verify insurance eligibility and benefits prior to appointments and assist patients with insurance-related questions as appropriate.
Collect co-pays, outstanding balances, and other payments; issue receipts, process transactions, and reconcile daily payment activity in accordance with clinic policies.
Maintain, update, and manage patient records within the Electronic Health Record (EHR) system, ensuring accuracy, completeness, confidentiality, and timely documentation.
Process and retrieve medical records, forms, legal documents, and other clinical documentation as needed, including records from outside facilities and hospitals.
Coordinate referrals to specialists, imaging centers, and other healthcare services; track referral status and follow up to ensure continuity of care.
Obtain and coordinate prior authorizations for medications, diagnostic tests, procedures, and specialty services as required.
Manage incoming and outgoing correspondence, including faxes, laboratory results, patient forms, medical records requests, and other clinical or administrative communications.
Prepare, process, and maintain medical forms and documents, including disability paperwork, immunization records, patient education materials, and related documentation.
Coordinate patient flow and collaborate with clinical and administrative staff to support efficient clinic operations and minimize wait times.
Assist patients with mobility needs, general inquiries, and navigation of clinic services while maintaining a welcoming and supportive environment.
Maintain clean, organized, and professional reception and waiting areas that promote a positive patient experience.
Monitor administrative and medical supply inventory levels and assist with ordering and stocking supplies as needed.
Maintain compliance with HIPAA, OSHA, clinic policies, and all applicable federal, state, and regulatory requirements.
Participate in staff meetings, training programs, quality assurance initiatives, audits, and other professional development activities.
Perform additional administrative, clerical, and patient support duties as assigned to ensure the efficient operation of the clinic.
Maintain professionalism, adaptability, and effectiveness in fast-paced, stressful, or emergency situations.
Travel to and work at all clinic locations as assigned to support operational and staffing needs.

Requirements

4 years minimum experience
High school diploma or GED required
Certified Medical Assistant (CMA or RMA) required
CPR certification recommended
Proficiency in medical terminology and medications, including injection procedures
Familiarity with referral processes, ICD-10, and CPT coding

Pay: From $21.00 per hour
