Job Overview

We are seeking a dynamic and detail-oriented Secretary/Data Entry professional to join our team! In this vital role, you will serve as the first point of contact for our office, managing front desk responsibilities, handling data entry tasks with precision, and supporting overall office management. Your energetic approach and excellent organizational skills will ensure smooth daily operations, effective communication, and a welcoming environment for clients and staff alike.

Responsibilities

Greet visitors and clients at the front desk with professionalism and warmth, ensuring excellent customer service and phone etiquette.
Manage multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary.
Perform data entry tasks with speed and accuracy using Microsoft Office applications and specialized software such as QuickBooks for bookkeeping and financial records.
Maintain organized filing systems, both physical and digital, ensuring confidentiality of sensitive information at all times.
Assist with calendar management, scheduling appointments, meetings, and personal assistant duties to support team members’ time management needs.
Handle clerical tasks including proofreading documents, preparing correspondence, and managing office supplies inventory.
Support office management activities by coordinating meetings, managing client communication, and ensuring smooth day-to-day operations.

Experience

Proven clerical or administrative experience in an office environment is required.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
Experience with data entry, bookkeeping (QuickBooks preferred), filing systems, and calendar management is highly desirable.
Bilingual skills are a plus to facilitate communication with diverse clients and team members.
Excellent organizational skills combined with time management abilities to prioritize tasks effectively.
Demonstrated customer service skills along with professional phone communication and etiquette are vital for success in this role.
Prior experience handling confidential information responsibly ensures trustworthiness in managing sensitive data.
