Position Overview
We are seeking a dependable, resourceful, and highly proactive
Miami-based Personal Assistant to manage the personal, household, and
lifestyle responsibilities that require a trusted local presence.
The principal leads multiple businesses and philanthropic initiatives,
creating a dynamic role with a wide variety of responsibilities.
The mission of this role is simple: keep the principal organized, well
supported, and comfortable, moving through life with less friction and
more ease. This includes managing the personal details that can
interrupt the day, including errands, deliveries, household readiness
and tidiness, healthy routines, appointments, and the logistics of the
residence and personal art collection.
This is not a role for someone who waits to be told what to do. The
right person thinks a step ahead, notices opportunities to improve
daily life, and takes initiative without being asked. They enjoy
solving recurring problems, getting ahead of the week, and creating
systems that make life run more smoothly. The goal is a life that
operates with less friction and fewer interruptions, not one that
requires constant direction.

Role Within the Support Team
This is a personal support role. It is distinct from the principal's
business and organizational operations, which are managed separately
by their companies and teams.
- The Miami-Based Personal Assistant manages the principal's personal
and household world in Miami.
- The Virtual Executive and Personal Assistant manages the principal's
personal information, calendar, relationships, records, commitments,
research, and remote coordination.
The Personal Assistant will work from a shared task and communication
system, receive clearly organized assignments, provide timely updates,
and coordinate with the virtual assistant on anything that crosses
between personal and remote support. Business, organizational, and
event operations are handled by the principal's operations team and
are outside this role.
Key Responsibilities
Personal Errands and Local Logistics
- Complete personal errands, pickups, returns, shipping, and purchases
- Manage packages, deliveries, dry cleaning, laundry services, and
other personal items
- Assist with personal appointment logistics and transportation coordination
- Handle time-sensitive personal requests when the principal is
traveling or unavailable
- Maintain receipts and accurate expense documentation
- Identify recurring errands or services that can be placed on a
regular schedule
Home and Residence Support
- Keep the residence consistently tidy, picked up, and organized on an
ongoing basis, not only before arrivals or guests
- Perform regular light tidying and resets of living spaces: returning
items to place, clearing clutter, and keeping surfaces and common
areas in order
- Handle laundry, including washing, folding, and putting away, plus
dry-cleaning drop-off and pickup
- Coordinate cleaners, maintenance providers, grocery deliveries, meal
services, and household vendors
- Confirm that healthy food, groceries, water, household supplies, and
other essentials are stocked
- Receive packages and make sure important items are placed securely
- Report maintenance concerns and oversee approved vendor visits
- Confirm that the residence is secure, functional, and guest-ready
before the principal or their visitors arrive
Regular light tidying, organizing, and laundry are a core, ongoing
part of this role. Deep cleaning is handled separately by a
professional cleaning service; this position keeps the home
consistently picked up and presentable between cleanings.
Personal Hosting and Appointments
- Prepare the residence and supplies when the principal hosts personal
guests or dinners
- Coordinate reservations, transportation, and guest needs for
personal occasions
- Handle last-minute personal needs before and during private gatherings
- Confirm that the home is ready before the principal or their guests arrive
Personal Art Collection Logistics
- Coordinate pickups, deliveries, framing, installation, and storage
for the principal's personal collection at the residence
- Be present when professional art handlers, installers, framers, or
vendors require access
- Confirm timing and access instructions with approved vendors
- Report delays, damage, access issues, or logistical concerns immediately
- Maintain discretion when working around the principal's art collection
This role may coordinate professional artwork services but is not
expected to perform specialized artwork handling.
Household Vendor and Contractor Coordination
- Communicate with approved cleaners, maintenance providers, drivers,
delivery services, and contractors
- Confirm appointments and provide access when needed
- Monitor whether work has been completed correctly
- Provide photos, receipts, or completion updates when appropriate
- Flag problems quickly and recommend practical solutions
- Help identify dependable local service providers
Thinking Ahead and Taking Initiative
- Constantly ask how to make the principal's life easier, healthier,
and better organized, and act on it without waiting to be asked
- Bring ideas forward and make good things happen, rather than only
completing assigned tasks
- Anticipate needs based on the principal's travel, schedule, and
personal commitments
- Recognize potential problems and address them before they require
the principal's involvement
- Look for recurring sources of friction and build better systems to remove them
- Take ownership of responsibilities from start to finish
- Use sound judgment when plans change or unexpected situations arise
- Escalate sensitive, expensive, or high-risk decisions rather than
making unauthorized commitments

confirming cleaning, groceries, supplies, packages, and maintenance
needs
- Being present when an artwork is delivered, framed, installed, or
moved by a professional handler

- Coordinating a cleaner, maintenance technician, grocery delivery,
and dry-cleaning pickup during the same week
- Handling an urgent return, delivery, reservation, or personal
purchase while the principal is traveling
- Confirming that vendors have access, understand their instructions,
and complete the requested work
- Noticing that a recurring service is being handled inefficiently and
proposing a more reliable solution

Role Boundaries
This position is personal in nature and does not include:
- Business, organizational, or event operations of any kind, which are
handled by the principal's operations team
- Any work for the principal's nonprofit, including fundraising, donor
development, or program operations
- Full-time housekeeping or deep cleaning (a professional cleaning
service is retained separately; this role handles ongoing light
tidying and laundry)
- Regular meal preparation or cooking
- Personal training
- Professional artwork handling when specialized services are required
- Primary calendar or inbox management
- Maintaining the principal's personal CRM or relationship follow-up system
- Managing the principal's personal records or digital documents
- Making major personal, financial, legal, or organizational decisions
on the principal's behalf
- Around-the-clock availability without a separate agreement
Pay: $50,000.00 - $60,000.00 per year
