Full Job Description

Overview

We are seeking a highly organized, proactive, and dependable Executive Personal Assistant to work directly with the CEO of a growing beverage company. This is a fast-paced, hands-on position that combines executive support, travel coordination, project management, and personal assistance.

The ideal candidate is someone who enjoys solving problems, staying organized, and anticipating needs before they arise. No two days will be the same. One day you may be coordinating travel and preparing meeting materials, and the next you may be accompanying the CEO to customer meetings, industry events, or handling important personal and business errands.

Responsibilities

Manage the CEO’s calendar, appointments, meetings, and daily schedule.
Coordinate business and personal travel, including flights, hotels, rental vehicles, and itineraries.
Travel with the CEO when needed to customer meetings, trade shows, industry events, and business conferences.
Take detailed notes during meetings and organize follow-up action items.
Assist with project management by tracking deadlines and ensuring tasks are completed on time.
Run business-related and occasional personal errands as requested.
Prepare presentations, reports, spreadsheets, and professional correspondence.
Screen calls, manage emails, and communicate professionally with customers, vendors, and business partners.
Coordinate meetings using Microsoft Teams and Zoom.
Organize company events, customer visits, and executive meetings.
Maintain confidential business information with professionalism and discretion.
Assist with bookkeeping, expense reporting, and document organization when needed.
Perform general administrative and office support duties to keep operations running efficiently.

Qualifications

Previous experience as an Executive Assistant, Personal Assistant, or Administrative Assistant preferred.
Exceptional organizational and time management skills.
Strong written and verbal communication skills.
Professional appearance and demeanor.
Comfortable traveling on short notice when business requires.
Valid driver’s license and reliable transportation.
Ability to work independently with minimal supervision.
High level of discretion and confidentiality.
Strong problem-solving skills and ability to adapt in a fast-moving environment.
