Job Description:

This position requires flexibility and job skills associated with office management and clinical competencies.

Office Management includes but not limited to general operations and administration of a medical office. Ensures office runs smoothly by supervising office staff (i.e. employed, contracted, or subcontracted), responsible for ordering supplies, oversight of office cleanliness (i.e. housekeeping services), and any computer related functions associated with patient care. Must be able to greet patients, prepare and collect completed necessary forms. Follow established protocols of computer system, enters and updates patient/insurance data, schedules appointments, collect patient out-of-pocket amounts including copays, deductible, co-insurance, and any outstanding balances, process payments, compiles Daily Journal and Deposit. Performs various clerical duties such as answering telephones, recording messages, preparing physician schedules, maintaining a “clean” work area. Clinical competency includes but not limited to the ability to exhibit and perform Medical Assistant clinical skills by enhancing the doctor/patient relationship within the healthcare office. A responsible Medical Assistant, capable of performing and expanding the role of assisting/nursing in the clinic setting. General summary of responsibilities will include assuming an organizational and leadership position, encouraging an optimum environment of communication, performance, and customer service, among fellow employees and customer.

SHIFT AND SCHEDULE

Full Time, Monday-Friday, 8:00am-5:00pm

ESSENTIAL FUNCTIONS/PERFORMANCE EXPECTATIONS

Perform all duties in accordance with established policies and procedures.
Conduct oneself in such a manner that is conducive with a professional office environment.
Dress in such a manner that is conducive with a professional office environment.
Maintain neat and well-ordered work environment.
Accommodates the various changes in workload by maintaining a flexible personal schedule.
Greets patients/customers in a positive and helpful manner, providing necessary forms for patient completion and signature, reviewing the same for accuracy, prepares daily appointments and input data into computer in readiness for visit. Requesting and verifying insurance information prior to patient’s visit.
Answers telephone calls, records messages for medical personnel, schedules patient appointments with revision of schedules for cancellations etc., keeping medical personnel aware of work load for the day.
Using the computer system prepares Encounter forms for each patient visit, enters data for billing the visit following Midland Health policies and procedures, collects payments for patient visits, and providing proper receipts.
Performs Daily Journals and Close for data entry and payments. Includes Daily Deposit and copies of required journals to Accounting Department.
Performs various clerical duties such as photocopying forms, reports and patient information, typing letters, forms, and labels, mailing, and faxing forms following Midland Health protocols.
Extended and or weekend hours may be required.
Maintain confidentiality according to Midland Health policies and procedures.
Triage and assessment of patients.
Preparation of patients for examination and testing.
Pertinent professional documentation of patient communications and circumstances.
Administration of medications, treatments, or testing as directed by physician.
Usage of communications skills – verbal, written, telephone, and/or computer.
Informing and/or advising patients of results, doctor’s advice or required treatment/appointment.
Responding to patients needs for education, doctor referrals, refill of medications.
Relationship with fellow workers and superiors.
Continual assessment of the office environment relating to patients and co-workers.
Organization, cleanliness, privacy, security and safety.
Management of medical supplies, instruments, and equipment—including proper storage, cleaning and monitoring requirements for operation.
Return patient calls.
Managing a patient schedule for a diverse group of providers.
Perform other duties as assigned

EDUCATION AND EXPERIENCE

High School diploma or GED equivalent. Associates Degree in applicable healthcare field is preferred. Bachelor Degree is a plus.
Current Texas credentialing certificate in Medical Office Assisting is preferred.
Possess the practical and technical knowledge required for his/her job.
One to two years office experience.
One to two years in healthcare field preferred.
Clinical experience a plus.

PHYSICAL REQUIREMENTS

To perform this job successfully, an individual must be able to perform each essential responsibility satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. The individual must be able to:

Stand, walk, sit, stoop, reach, lift, see, speak and hear. Lifting is limited to 35 lbs. for clinical staff and to 50 lbs. for non-clinical staff. The individual must use an assisted-lift device or get another individual(s) to assist with the lift that is over these maximum limits.
