About Whole Mind

We specialize in evidence-based psychiatric care, including medication management, Transcranial Magnetic Stimulation (TMS), and Spravato® (esketamine) treatment for individuals living with depression and other mental health conditions.

As we continue to grow, we are seeking a compassionate, organized, and patient-focused Medical Assistant / Front Office Coordinator to support our Taylorsville clinic.

Position Summary

This role combines direct patient care with front office operations. The successful candidate will assist providers and patients throughout the treatment experience while ensuring the clinic operates efficiently and delivers an exceptional patient experience.

This position supports patients receiving TMS and Spravato treatment while also serving as the welcoming face of the clinic by managing front desk responsibilities, scheduling, patient communications, and administrative workflows.

Essential ResponsibilitiesClinical Responsibilities

Prepare patients for appointments and treatments.
Assist providers during patient visits as appropriate.
Support patients receiving TMS therapy.
Support patients receiving Spravato treatment, including patient observation and documentation in accordance with REMS requirements and company protocols.
Obtain and document vital signs.
Maintain accurate clinical documentation within the electronic health record.
Prepare treatment rooms and maintain a clean, organized clinical environment.
Maintain inventory of clinical supplies.
Follow infection control, OSHA, HIPAA, and safety guidelines.

Front Office Responsibilities

Greet and check in patients professionally and compassionately.
Schedule appointments and manage provider calendars.
Answer incoming phone calls and respond to patient inquiries.
Verify insurance and collect patient financial responsibility as appropriate.
Process patient paperwork and documentation.
Coordinate referrals and obtain outside medical records as needed.
Maintain accurate demographic and insurance information.
Support daily clinic operations and workflow.

Administrative Responsibilities

Collaborate with providers, schedulers, billing, prior authorization, and leadership teams.
Assist with quality improvement initiatives.
Support implementation of organizational policies and procedures.
Perform additional duties as assigned to support clinic operations.

QualificationsRequired

High school diploma or equivalent.
Current Medical Assistant certification or equivalent clinical experience.
Excellent interpersonal and communication skills.
Strong organizational skills and attention to detail.
Ability to multitask in a fast-paced healthcare environment.
Basic computer proficiency and comfort learning electronic health record systems.

Preferred

Experience in psychiatry, behavioral health, neurology, or primary care.
Experience supporting TMS or Spravato treatments.
Experience with insurance verification and patient scheduling.
Experience using electronic health records (Valant or AdvancedMD preferred).

Physical Requirements

Ability to sit and stand for extended periods.
Ability to assist patients as needed.
Ability to lift up to 25 pounds occasionally.
