Overview

Join our dynamic team as an Administrative Assistant and become a vital contributor in a key support role within the organization, ensuring efficient office operations and effective communication across departments. The Administrative Assistant is responsible for maintaining accurate records, managing sensitive information, supporting leadership initiatives, and contributing to the agency's mission by providing reliable administrative and operational assistance.

Responsibilities

Administrative Supports - serves as a central resource for daily administrative operations, ensuring that leadership staff receive timely and effective support. The position requires maintaining confidentiality, organizing and securing records, managing routine office communications, and providing professional customer services to staff, visitors, and stakeholders while ensuring compliance with agency policies and HIPAA regulations.
Systems Management - supports the effective use of technology systems that are essential to agency operations. Responsibilities include coordinating system functionality, maintaining data accuracy, generating reports from state and local databases, and assisting with the ongoing development and management of the organization's Sharepoint environment to enhance collaboration, communication, and information accessibility.
Reporting - responsible for preparing and maintaining a variety of reports and business documents that support organizational operations and decision-making. This includes collecting and analyzing data, monitoring compliance requirements, maintaining accurate records, and developing reporting tools that provide leadership with meaningful insights into agency performance, financial activity, and operation outcomes.
Quality Assurance - supports quality assurance efforts by participating in audit reviews and monitoring compliance-related activities. This work helps ensure that organizational records, processes, and documentation meet agency, county, state, and federal standards while supporting continuous quality improvement initiatives.
Training / IT Liaison – acts as a liaison between staff, individuals served, families, and agency resources, the Administrative Assistant provides information, guidance, and support to ensure effective communication and service delivery. The position also assists with onboarding and training activities, helping new employees understand agency procedures, systems, and expectations.

Skills

Seeking experienced administrative professional with strong knowledge of office operations and procedures. Advanced proficiency in Microsoft 365 applications, including Outlook, Word, Teams, PowerPoint, SharePoint, and Excel (PivotTables, dashboards, charts, and graphs). Demonstrated ability to coordinate projects, manage multiple priorities, meet deadlines, and maintain exceptional organization and attention to detail.

Possesses excellent written and verbal communication skills, strong proofreading and grammar abilities, and a typing speed of 60+ WPM with high accuracy. Known for professionalism, adaptability, customer service, collaboration, and continuous process improvement. Skilled in analytical thinking, problem-solving, critical thinking, and decision-making.

Qualifications

High school diploma

Preferred Qualifications

Experience with industry-specific systems, software, or processes.
Project management experience.
Leadership or supervisory experience (if applicable).
Basic IT Knowledge
