As a Field Staffing Coordinator, you are at the heart of the action. You source, recruit, and place the people who staff our events and worksites — making sure every shift, every event, and every client site is covered with ready-to-work talent. It is hands-on, fast-moving, and no two days look the same.

Responsibilities
Event Staffing & Coordination
- Receive, review, and fulfill staffing orders for assigned event accounts and venues within designated territory.
- Coordinate deployment of field personnel to event assignments, ensuring proper coverage, timely confirmation, and accurate headcount.
- Serve as the primary point of contact for workers on assigned events — addressing questions, scheduling changes, and last-minute adjustments.
- Conduct pre-event briefings and ensure all workers arrive prepared, in proper attire, and with appropriate credentials or site access documentation.
- Monitor attendance and no-call/no-show activity; execute real-time backfill and contingency staffing when gaps arise.
- Recruiting & Talent Pipeline
- Source and recruit qualified candidates for all field position types including event staff, hospitality workers, light industrial labor, and skilled trades.
- Post open positions across job boards, social media platforms, and community channels to drive consistent applicant flow.
- Screen, interview, and evaluate candidates for field readiness, reliability, and position fit.
- Maintain an active, categorized candidate pipeline to support rapid deployment and last-minute staffing needs.
- Participate in job fairs, community outreach, and local recruiting events as needed to expand talent reach.
Onboarding & Compliance
- Guide new hires through the onboarding process including application review, I-9 documentation, E-Verify, and orientation.
- Ensure all field workers are properly credentialed and meet any site-specific background check, drug screening, or certification requirements prior to placement.
- Coordinate with HR & Compliance to maintain accurate and current employee records in the applicant tracking and workforce management systems.
- Flag and escalate any documentation gaps, eligibility concerns, or compliance issues to the appropriate staff in a timely manner.
Scheduling & Operations Support
- Manage and maintain accurate scheduling records for all assigned field personnel using internal systems and staffing tools.
- Confirm worker availability and assignments in advance of each event or shift; follow up with no-response workers to ensure fill confirmation.
- Communicate scheduling updates, shift changes, and cancellations promptly to both field workers and supervising staff.
- Assist in tracking hours worked, supporting timekeeping accuracy for payroll processing.
- Provide operational support to Area Supervisors and Operations Managers as needed, including coverage tracking, attendance reporting, and ad hoc coordination tasks.
Relationship Management
- Maintain positive, professional relationships with field workers to encourage retention and re-deployment.
- Support a culture of reliability and accountability on the field level by setting clear expectations and recognizing high-performing talent.
- Collaborate with internal team members including recruiters, supervisors, and operations staff to share pipeline resources and support cross-territory staffing needs.
Qualifications
Education
High school diploma or GED required; associate's or bachelor's degree in HR, Business, or related field preferred
Experience
1–2 years of experience in staffing, recruiting, workforce coordination, or a related field; experience in event, hospitality, or light industrial environments a strong plus
Technology
Comfortable with applicant tracking systems (ATS), scheduling platforms, and Microsoft Office Suite; ability to learn internal workforce management tools quickly
Language
Bilingual proficiency in English/Spanish or English/Haitian Creole strongly preferred
Other
Valid driver's license and reliable transportation required; must be available for flexible scheduling including evenings, weekends, and event-driven schedule shifts

Pay: $38,000.00 - $42,000.00 per year
