Full Job Description

Position Summary:

Marketing Project Coordinator manages the coordination, organization, and execution of marketing assets and product-related creative initiatives while helping drive work forward across cross-functional teams. This role connects Product Development, Marketing, Design, Studio, Data, and Sales to ensure assets are accurately developed, reviewed, and delivered on schedule. The position blends project coordination, creative workflow management, data accuracy oversight, and administrative marketing support, with increased responsibility for owning timelines, facilitating alignment, and proactively resolving issues throughout the process.

Key Responsibilities

Creative & Asset Coordination

· Serve as the primary coordinator and process owner for assigned creative requests including renders, photography, video, design, infographics, and collateral.

· Manage and drive requests through designated templates and Smartsheet workflows, ensuring timely handoffs and follow-through across stakeholders.

· Coordinate work with external creative, photography, video, and production partners, ensuring briefs, product information, assets, feedback, and approvals are complete and delivered efficiently.

· Ensure all required information, files, samples, and references are complete prior to assignment, proactively following up on gaps to avoid delays.

Render, Photography & Video Management

· Lead coordination of render requests from intake through final approval, including step file collection, meeting setup, proofing, and stakeholder follow-up.

· Manage photography and video workflows end-to-end, including product ordering, studio coordination, and timeline tracking.

· Ensure final approved assets are delivered accurately and on time to Project Management and other downstream partners.

Creative Brief & Design Support

· Develop, facilitate, and maintain project and creative briefs that align stakeholders, clarify requirements, and improve downstream execution.

· Facilitate creative brief meetings with stakeholders, helping drive clarity, alignment, and next steps.

· Coordinate copy and design assignments, manage revisions, and track progress to keep deliverables moving on schedule.

· Help evaluate incoming requests against established priorities and intake requirements, escalating conflicts and capacity concerns when needed.

Data Accuracy & Portfolio Management

· Identify, communicate, and follow through on incorrect or missing product data in Salsify or related systems to support accurate downstream execution.

· Maintain and improve digital asset organization in accordance with established SOPs.

· Manage QR code creation and related asset tracking while supporting consistent system organization and accuracy.

Role Qualifications

Required

· Strong organizational, project coordination, and follow-through skills.

· Clear written communication, strong attention to detail, and the ability to keep work progressing across multiple priorities.

· Ability to work cross-functionally with multiple teams, follow up proactively, and escalate issues appropriately.

Preferred

· Associate's or Bachelor’s degree in marketing, Communications, Business, or a related field, or equivalent combination of education and relevant experience.

· Experience supporting creative, product marketing, or marketing operations teams.

· Familiarity with product information management, digital asset management, and project tracking tools, including PIM systems such as Salsify and workflow tools such as Smartsheet.

· Experience coordinating photography, design, or product-related marketing projects, with demonstrated ability to work independently within established processes.

Physical Demands: Ability to lift, push, pull, bend, and stand with or without reasonable accommodation.

Work Environment: Moderate noise environment with exposure varying based on project needs.

Pay: From $55,000.00 per year
