Full Job Description

POSITION SUMMARY

Champion Industrial Contractors is seeking a detail-oriented Accounts Payable Administrator to support financial operations across our job cost construction projects. Reporting directly to the Senior Accountant, this role is responsible for the accurate and timely processing of vendor payments, subcontractor invoices, and company expenses — ensuring all costs are correctly coded to the appropriate job, cost code, and category in Sage 300 Construction and Real Estate (CRE). The ideal candidate has hands-on experience with Sage 300 AP workflows, ACH payment processing, Emburse expense management, and ERP data imports and exports.

ESSENTIAL FUNCTIONS

Invoice Entry & Job Costing in Sage 300 CRE — Enter and post AP invoices; assign correct job number, cost code, and category; match invoices to subcontracts and purchase orders using the Sage 300 commitment billing module
ACH Payment Processing — Generate and transmit ACH payment files from Sage 300; maintain vendor banking records and payment authorizations; reconcile electronic payments against bank statements and the Sage cash ledger
Emburse Administration — Manage company card transactions and expense reports in Emburse; review receipts, enforce expense policy, and export coded transactions for import into Sage 300 AP
Statement & Account Reconciliation — Reconcile vendor statements to the Sage 300 AP subledger monthly; resolve discrepancies and ensure credits, retainage holdbacks, and change order billing are applied correctly
Vendor & Subcontractor Relations — Serve as the primary AP contact for vendors and subcontractors; respond to billing inquiries, resolve payment disputes, and manage lien waiver collection and tracking
Reporting & Job Cost Support — Generate weekly AP aging and cash requirement reports from Sage 300; assist project managers with job cost analysis, committed cost reviews, and budget-to-actual reporting
Audit, Compliance & Year-End — Maintain organized AP files and documentation in Sage 300; support year-end audit preparation, 1099 processing through Sage.

QUALIFICATIONS

Experience processing ACH payments and managing vendor banking records
Proficiency with Emburse or a comparable expense management platform
Experience with Sage 300 data imports and report exports a plus.
Background in construction or job cost accounting environment
Familiarity with lien waivers, retainage, subcontract billing, and 1099 preparation
Strong attention to detail and accuracy under deadline pressure
Ability to manage multiple priorities across active construction projects
Clear written and verbal communication with vendors and internal project teams
Proficiency in Microsoft Excel and Office Suite
