Finn, Cohen & Adrian CPAs, APC is a professional CPA firm providing tax and accounting services to individuals, businesses, and their owners. We are a professional, team-oriented firm that takes pride in providing high-quality service and developing strong, long-term relationships with our clients.

We are seeking an organized, dependable, and professional Administrative Assistant / Front Office Coordinator to join our team. This is an important client-facing position and will serve as the first point of contact for clients, visitors, and vendors while providing administrative support to our professional staff.

Job Summary

The ideal candidate is personable, organized, detail-oriented, and comfortable working in a professional office environment. The position involves a variety of responsibilities, including reception, client service, administrative support, document management, and general office coordination.

The successful candidate will be someone who takes initiative, communicates professionally, can manage multiple priorities, and takes pride in maintaining an organized and welcoming office.

Responsibilities

Answer incoming calls and greet clients and visitors in a professional and welcoming manner.
Manage the front desk, including incoming mail, deliveries, and general office traffic.
Schedule client appointments, meetings, and conference rooms.
Manage client document uploads through ShareFile.
Assemble and organize tax returns, financial statements, and other client deliverables.
Track e-file authorizations, signatures, and other required client documentation.
Prepare engagement letters, invoices, and other client correspondence.
Monitor office supplies and coordinate with vendors for office services and maintenance.
Provide general administrative and clerical support to partners and staff.
Assist with other office and administrative responsibilities as needed.

Skills

Proven experience in office management or administrative support roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy across various platforms
Excellent communication skills, both verbal and written; bilingual abilities are a plus
Strong time management skills with the ability to prioritize tasks effectively in a busy environment
Demonstrated ability to handle confidential information discreetly and professionally
Previous office experience involving data entry, filing, proofreading, and clerical duties
Exceptional customer service skills with a friendly demeanor and professional phone etiquette
