Job Summary

We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff, clients, and visitors alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where productivity thrives. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a collaborative workplace. Office Hours of 8:00 AM--4:30 PM, Monday--Friday.

Responsibilities

Manage multi phones to answer inbound telephone calls, text messages requests, and online requests with professionalism, ensuring clear communication and prompt assistance for callers.
Perform data entry tasks accurately using spreadsheets, databases, and productivity software such as Microsoft Office and Google Workspace.
Maintain organized filing systems—both digital and physical—to ensure easy retrieval of documents and records.
Support office management activities including calendar management, scheduling appointments, and coordinating meetings.
Assist with client communication by preparing correspondence, proofreading documents, and ensuring clarity in all communications.
Provide customer support by addressing inquiries efficiently and offering courteous service at all times.
Utilize QuickBooks for basic bookkeeping tasks such as invoicing and expense tracking when needed.
Demonstrate excellent phone etiquette while managing inquiries via phone or email with professionalism and patience.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Background with Media and advertising is a plus.
Strong computer literacy with the ability to learn new software quickly.
Experience with data entry, filing systems, and clerical tasks in an office environment.
Excellent organizational skills with the ability to prioritize tasks effectively.
Effective communication skills in both verbal and written forms.
Ability to prioritize and multitask a must.
Knowledge of QuickBooks accounting software is advantageous.
Demonstrated customer service skills with a friendly attitude and professional phone etiquette.
Ability to manage time efficiently while handling multiple responsibilities simultaneously.
Personal assistant experience or previous office management roles are highly valued for this position.
