About KHI Mechanical

KHI Mechanical is a growing mechanical contractor seeking a friendly, organized, and dependable Receptionist/Office Assistant to join our team. This role is the first point of contact for customers, vendors, and visitors while also providing administrative and basic accounting support to our office staff. The ideal candidate enjoys helping others, is detail-oriented, and thrives in a fast-paced office environment.

Responsibilities

● Provide exceptional customer service to customers, vendors, and team members.

● Answer, screen, and direct incoming calls using a multi-line phone system in a courteous and professional manner.

● Greet visitors, determine their needs, and direct them to the appropriate employee or department.

● Perform general administrative duties including filing, scanning, data entry, copying, and maintaining organized office records.

● Assist the Office Manager and Controller with daily office operations and administrative projects.

● Support accounting functions including accounts payable, accounts receivable, invoice processing, purchase orders, and vendor documentation.

● Assist with purchasing, tracking orders, and maintaining accurate records.

● Process and organize financial documents while maintaining confidentiality.

● Help ensure the front office remains organized, professional, and efficient.

● Perform other administrative and clerical duties as assigned.

Qualifications

● High school diploma or GED required.

● Associate degree, business coursework, or administrative/accounting experience preferred.

● Previous receptionist, administrative assistant, customer service, or office experience preferred.

● Basic accounting experience or familiarity with accounts payable, accounts receivable, invoicing, or bookkeeping is a plus.

● Proficient in Microsoft Office (Outlook, Excel, and Word).

● Excellent verbal and written communication skills.

● Strong organizational skills with exceptional attention to detail.

● Ability to prioritize tasks, manage multiple responsibilities, and work effectively in a fast-paced environment.

● Friendly, professional, dependable, punctual, and self-motivated with a positive attitude.

● Ability to maintain confidentiality and exercise professionalism when handling sensitive information.
