Full Job Description

Tovey/Shultz Construction, Inc. is a Southern California General Contractor specializing in commercial and public works construction. We are seeking a highly organized, detail-oriented Construction Project Coordinator to join our team.

This position reports to the Controller and works closely with Project Managers, Project Engineers, Accounting, Superintendents, subcontractors, and insurance brokers to support successful project execution.

The Construction Project Coordinator is responsible for coordinating the company's change order administration process and managing subcontractor compliance documentation. This position helps ensure change orders are properly tracked from initiation through approval and that subcontractors have satisfied required documentation before being authorized to perform work on project sites.

Primary Responsibilities - Change Order Coordination

Review Change Events prepared in Procore by Project Management team
Review owner contract requirements and subcontract agreements to confirm applicable change order procedures, markups, and allowable costs
Verify that pricing, scope descriptions, and supporting documentation are complete before processing.
Review subcontractor labor rate sheets, invoices, and supporting cost documentation to verify compliance with contract requirements, allowable markups, and change order backup requirements.
Coordinate with project teams to obtain any missing information.
Prepare and process owner change order requests, owner change orders, subcontract change orders, and contract adjustments.
Maintain change order logs and track approvals through execution.
Attend project meetings via Microsoft Teams to monitor the status of change orders and follow up on outstanding items.
Prepare reports on the status of pending and approved change orders.

Subcontractor Compliance

Review Certificates of Insurance (COIs), endorsements, bonds (when required), and other subcontractor documentation.
Review DAS140’s for accuracy and completeness and verify submission to all applicable committees.
Maintain subcontractor compliance tracking logs.
Coordinate with subcontractors and insurance brokers to obtain required or updated documentation.
Verify that subcontractors have satisfied required documentation prior to mobilization.
Notify Project Managers, Superintendents, and designated personnel when subcontractors have met all requirements and are authorized to perform work on project sites.
Notify project teams when subcontractors are no longer compliant due to expired insurance or missing documentation.

Additional Responsibilities

Maintain organized electronic project files and documentation.
Assist with project documentation and administrative processes as needed.
Prepare reports and correspondence.
Provide administrative support to the Controller and Project Management team.
Assist with tracking outstanding project items and follow-up activities.
Perform additional duties and special projects as assigned to support departments.

Responsibilities are not limited to those listed above and may be modified or expanded to meet the operational needs of the company.

Qualifications

Construction office experience is required, preferably with a General Contractor.
Experience with change orders, subcontractor compliance, project administration, accounting support, or document control is highly desirable.
Training will be provided on company-specific procedures.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
Strong verbal and written communication skills.
Proficiency with Microsoft Outlook, Word, Excel, and Adobe Acrobat.
Ability to work independently while managing multiple priorities in a fast-paced environment.

Preferred Qualifications

Experience working on commercial and/or public works projects.
Experience with Procore
