The City of Vacaville is accepting applications for Administrative Technician I/II. Currently, we have one (1) full-time vacancy in the Utilities Department and one (1) part-time vacancy in the Public Works Department. This recruitment will establish an Administrative Technician I/II City-wide eligibility list for future full-time, part-time and limited-term vacancies in this classification that may occur over the next 12-month period.
The Administrative Technician classification is flexibly staffed and may be filled at either the I (entry-level) or II (journey-level), depending on candidate qualifications and departmental need. Employees hired at the Administrative Technician I level may advance to the Administrative Technician II level upon meeting the required qualifications of the higher level.
Salary Ranges
For Full-Time Opportunities
Administrative Technician I: $61,434 - $74,674 annually
Administrative Technician II: $67,588 - $82,154 annually
For Part-Time Opportunities
Administrative Technician I: $31.50 - $38.29 per hour
Administrative Technician II: $34.66 - $42.13 per hour

Part-time positions are paid an hourly rate and can work up to a maximum of 129 hours per month. Part-time positions are at-will, are not eligible for health or retirement benefits and do not accrue leave time with the exception of State-mandated sick leave (40 hours per year).
The Administrative Technician performs a variety of procurement, budget, and administrative support duties for department projects and programs. Responsibilities also include researching and compiling data, preparing reports and presentations, and developing and maintaining databases and spreadsheets.

Utilities Department (Full-Time Vacancy):-
Provide key administrative and technical support to a multidisciplinary team.

Coordinate administrative support activities for facilities maintenance and safety programs.

Collaborate with Management Analysts to support departmental financial and risk management functions, including the preparation, tracking and administration of purchase orders and contracts.

Coordinate City Council agenda items and supporting documentation, facilitating reviews, approvals and records management.

Coordinate department communications, including website content, social media and Request for Proposal (RFP) postings and updates.
The Utilities Department's vacancy requires a valid California driver's license.
Public Works Department (Part-Time Vacancy):-
Perform data entry into the financial system for purchase order receiving, requisitions and purchase order change orders.

Provide tracking of certified payroll.

Process overtime and utility encroachment permit billing.

Perform reconciliations for various accounts.

Coordinate end of the year processes.
The Public Works Department's vacancy does not require a valid California driver's license.
The Ideal Candidate will have excellent interpersonal skills to work effectively across all City Departments and all levels of employees, as well as strong oral and written communication skills. They will be well organized with the ability to prioritize multiple tasks and/or projects. The desirable knowledge, skills and abilities include, but are not limited to:
For the Utilities Department's vacancy:

Highly organized and detail oriented, with the ability to manage multiple priorities, deadlines and assignments in a fast-paced environment.

Experienced in using Munis or similar ERP systems to support purchasing and contract functions.

Skilled in updating and managing website content through Granicus or comparable web content platforms.

Technical skills including, but not limited to, proficiency in MS Office, Adobe, Zoom, DocuSign and eScribe.

Ability to adapt and work independently with minimal supervision.
For the Public Works Department's vacancy:-
Intermediate understanding of Microsoft Office (emphasis on Excel).

Familiar with financial software Munis or similar ERP systems.

Ability to create and maintain various spreadsheets.

Time management and organizational skills to effectively prioritize workload and meet competing deadlines.

MINIMUM QUALIFICATIONS: Any combination of education and experience that would provide the required knowledge and abilities is qualifying. A typical way to obtain the required knowledge and abilities would be:
ADMINISTRATIVE TECHNICIAN I
Education: Equivalent to an Associate’s degree from an accredited college.
Experience: Three (3) years of responsible clerical or technical administrative experience.
ADMINISTRATIVE TECHNICIAN II
Education: Equivalent to an Associate’s degree from an accredited college.
Experience: Two (2) years of work experience performing increasingly responsible duties in a position equivalent to an Administrative Technician I with the City of Vacaville.
LICENSE OR CERTIFICATE
Select positions may require the possession of a valid California Class C Driver’s License and a satisfactory driving record as conditions of initial and continued employment.
