Full Job Description

About Us:

USA SiteWorx is a leading provider of grading, site work, and construction services. We are looking for a detail-oriented and highly organized Construction Billing & Administrative Assistant to join our team. If you thrive in a fast-paced environment and have a strong background in construction billing and financial management, we want to hear from you!

This position may be based out of either our Fort Myers or Naples, Florida office. Training will take place at our Fort Myers office.

What You’ll Be Doing

Billing, Accounts Receivable & Job Costing

Prepare, process, and track progress billings, final invoices, and project-related billing.
Review estimates, purchase orders, approved change requests, timesheets, and job details to make sure billing is accurate.
Track billing cycles and help make sure invoices are submitted on time.
Monitor accounts receivable and follow up on outstanding balances.
Maintain clear records of billing communication, payment follow-ups, and project documentation.
Use Zoho Books to enter transactions, run reports, and maintain accurate financial records.
Assist with month-end reporting, account reconciliations, and billing summaries.
Help identify billing issues before they become larger problems.

Project & Administrative Support

Support estimators and project managers with job tracking, cost reporting, and documentation.
Maintain contractor and vendor files, including contracts, Certificates of Insurance, lien releases, and related documents.
Organize and maintain digital and physical files.
Assist with daily office tasks, data entry, document tracking, and internal communication.
Help improve billing and administrative processes as the company continues to grow.

What We’re Looking For

2+ years of experience in a construction office, preferably in billing, accounts receivable, bookkeeping, or project administration.
Experience with QuickBooks or Zoho Books is required.
Strong understanding of construction billing, job costing, estimates, purchase orders, change orders, and invoices.
Proficiency with Microsoft Office, especially Excel, Outlook, and Word.
Strong attention to detail and the ability to catch small errors before they create bigger issues.
Ability to manage multiple priorities and stay organized during busy billing cycles.
Clear communication skills and a professional, team-first attitude.
Ability to work independently and follow through on tasks without constant direction.

Experience That Would Be a Plus

Experience in grading, site work, land development, custom residential construction, or related trades.
Familiarity with lien releases, COIs, subcontractor documentation, and construction compliance paperwork.
Bilingual English and Spanish is a plus.

Physical Requirements

This is an office-based position. The role requires prolonged periods of sitting, typing, and working on a computer. Occasional standing, bending, reaching, handling office materials, and lifting up to 25 lbs may be required.
