Full Job Description

Wollman, Gehrke & Associates, P.A. is seeking an experienced Senior Probate Paralegal to join our dedicated, positive, and team-oriented firm.

This is an excellent opportunity for an experienced probate professional who takes pride in providing outstanding client service, managing complex matters with accuracy, and working collaboratively with attorneys and colleagues. Compensation will be based on experience and qualifications.

While we are primarily seeking a seasoned Probate Paralegal, we may also consider an exceptional developing paralegal who demonstrates the professionalism, aptitude, and commitment necessary to grow into the role.

Key Responsibilities

The Senior Probate Paralegal will support attorneys and clients throughout probate and trust administration matters. Responsibilities include:

Communicating professionally and compassionately with clients, financial institutions, courts, government offices, and other third parties.
Assisting attorneys with probate and trust administration matters from opening through completion.
Scheduling client meetings, coordinating materials, and preparing attorneys for meetings in accordance with their preferred workflow and style.
Preparing and maintaining asset inventories, financial spreadsheets, bookkeeping records, and financial institution forms.
Managing court filings and communicating with courts, recorders, and other government offices to ensure matters are handled accurately and timely.
Drafting correspondence to clients, beneficiaries, financial institutions, and other third parties.
Performing basic to intermediate legal research.
Organizing, maintaining, and updating client files and case records.
Monitoring deadlines and proactively following up on outstanding documents, filings, and other matter requirements.
Working collaboratively with attorneys and team members to provide an exceptional client experience.

Qualifications

Successful candidates should possess:

3–5+ years of experience in probate, trust administration, estate planning, or a closely related legal field.
Strong knowledge of probate and trust administration processes and procedures.
Excellent written and verbal communication skills.
Exceptional organizational and time-management abilities with a high level of attention to detail.
The ability to manage multiple matters, priorities, and deadlines effectively.
Sound judgment, discretion, and a demonstrated ability to maintain strict client confidentiality.
Strong analytical, research, documentation, and problem-solving skills.
The ability to read, understand, and apply legal documents, procedural guidelines, instructions, and statutory requirements.
Professional interpersonal skills and the ability to communicate effectively with clients, attorneys, coworkers, financial professionals, court personnel, and individuals from a wide variety of backgrounds.
Strong computer proficiency, including Microsoft Office.
The ability to learn and become proficient with the firm's case-management and other technology systems.

Education & Credentials

Paralegal Certificate or Certification preferred.
Prior experience with legal case-management software preferred.
Notary Public commission/certification preferred.
