Medical Front Office Coordinator – Behavioral Health

OPA Behavioral Health is a growing private practice with multiple locations across Florida, dedicated to delivering compassionate, patient-centered psychiatric care. Position Overview

OPA Behavioral Health is seeking a dependable, professional, and patient-focused Medical Front Office Coordinator to join our Naples office.

This is a fully in-person, non-remote position responsible for front desk operations, patient communication, scheduling, and administrative coordination within a behavioral health setting.

Candidates with experience as a Medical Receptionist, Front Desk Medical Assistant, Medical Office Assistant, Medical Administrative Assistant, Patient Services Representative, or Patient Access Representative are strongly encouraged to apply.

Key Responsibilities

Welcome and check in patients with professionalism, warmth, and exceptional customer service
Serve as the primary front desk medical receptionist / patient access point
Schedule and manage patient appointments and provider calendars
Verify insurance eligibility and benefits through the insurance verification team
Communicate with patients via phone, email, and text messaging
Answer, screen, and route incoming calls and electronic messages
Maintain accurate and up-to-date patient records in EMR systems and medical files
Scan, upload, and organize clinical documentation
Process medical records requests in a timely manner
Handle clerical duties including faxes, email correspondence, and document management
Collect co-pays and payments; reconcile daily transactions
Coordinate referrals and support patient care coordination efforts
Take basic vitals (weight, height, and blood pressure) as needed
Maintain a clean, organized, and welcoming front lobby area
Monitor office supplies and notify management of inventory needs
Support compliance, documentation, and administrative projects as assigned
Ensure strict adherence to HIPAA and patient confidentiality standards

Qualifications

High school diploma or equivalent required
Associate degree or certification in Medical Administration preferred
Minimum one (1) year of experience in a medical office, behavioral health practice, or healthcare setting preferred
Experience as a Medical Receptionist, Front Desk Medical Assistant, Medical Office Coordinator, or Patient Services Representative preferred
Strong understanding of HIPAA compliance and front office workflows
Experience with EMR systems (eClinicalWorks, AdvancedMD, Kareo, SimplePractice, or similar preferred)
Strong communication, organizational, and multitasking skills
Ability to remain calm, professional, and efficient in a fast-paced environment
Exceptional customer service and interpersonal skills
