Overview

We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of daily office activities, providing exceptional support to staff and clients alike. As an Office Assistant, you will be the friendly face at the front desk, manage administrative tasks with efficiency, and help maintain a productive and welcoming environment. Your proactive attitude and technical proficiency will drive our office’s success and foster positive client interactions.

Duties

Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression
Manage multi-line phone systems, directing calls accurately and courteously while providing excellent customer service
Assist with calendar management and scheduling appointments for staff members or departments
Support office management activities such as supply inventory, organization of files, and maintaining office equipment
Provide administrative support to various departments as needed, including filing, copying, and document preparation
Handle the business telephone, customer communications, employee applicants, and assist in the operation Merry Maids system.
Handle potential customer inquiries and follow telephone script to persuade callers to schedule a sales call.
Handle potential employee inquiries and follow telephone script to persuade callers to complete an application for position openings. Handle potential employee initial application and interview. Administer "New Employee Orientation Program. ”
Handle customer complaints and assist with customer retention follow-up phone calls. Assist in the operation of the MM360 software. Prepare cleaner assignments. Prepare daily cleaning schedule.
Maintain a clean and fresh appearance in the office reception area. At all times contribute to a positive work climate and to the overall team effort of the company.
Handle the maintenance and preparation of cleaning product dispensers and cleaning cloths.
Perform all office functions and other reasonable, related duties as assigned or requested

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and productivity software
Experience with data entry, clerical tasks, and managing spreadsheets efficiently
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Exceptional phone etiquette skills with experience managing multi-line phone systems and client communication
Bilingual abilities are highly desirable to serve diverse client needs effectively
Familiarity with QuickBooks accounting software for financial transactions is a plus
Proven office management experience with strong time management skills
Ability to handle confidential information discreetly and professionally
Strong proofreading skills to ensure error-free documentation
Customer service orientation with a friendly demeanor at the front desk or reception area
Technical proficiency in computer applications relevant to office operations including calendar management tools
Personal assistant or medical receptionist experience is advantageous but not required
