Job Description

Small but busy law firm located in Salem, New Hampshire with a legal footprint that covers many New England states is looking to hire a full time Legal Assistant (Legal Support Admin). This position is a vital supporting role to the firm’s Legal Support Team. Applicants should have knowledge handling legal administrative tasks and Microsoft Excel. Applicants should be able to handle an exciting, high pressure environment while meeting important deadlines and multitasking with an extreme emphasis on attention to detail and organization.

The primary responsibilities of this position include but are not limited to:

Distribute mail and packages to employees and obtain signature.

Make daily post office trips to pick-up morning firm mail

Assist the Legal Department with sorting and distributing the daily incoming legal mail in accordance with the firm’s internal procedure (including packages received during the day to the firm)

Assist the Legal Support Team with mailing projects to the court and Consumers according to the firm’s internal outgoing mail procedure.

Download and distribute court notices received through the firm’s electronic notice inbox.

Review and process workflow reports

Log received notices into the firm’s system of record (Data Entry)

Utilize court websites to review filed lawsuits and enter information into the firm’s system of record (Data Entry)

Organize legal documents within firm’s system of record according to the firm’s internal Document Queue process
Maintain a strong knowledge of individual client procedures and state specific legal processes.
Provide additional support to other members of the Legal Support Team and the Legal Department

Preferred Qualifications:

Must be proficient in Microsoft Excel
Must have excellent communication, oral, written and interpersonal skills.
Must be able to interact effectively with all levels of personnel.
Must be able to maintain confidentiality in all client and firm matters.
Must be able to adhere to the firm’s policies, procedures and core values
