Full Job Description

Position Summary

The Service Office Manager is responsible for leading and overseeing the administrative operations of the Service Department. This position ensures that the service office operates efficiently, customers receive timely and professional communication, technicians have the support they need, and all administrative processes are completed accurately and consistently.

The Service Office Manager works closely with the Service Manager and Field Management team to support the day-to-day operation of a fast-paced, highly seasonal pool service department.

Key Responsibilities:

Service Operations & Scheduling

Oversee daily service office operations and workflow
Manage technician scheduling, appointments, routes, and customer requests
Coordinate pool openings, closings, maintenance, repairs, and equipment service
Monitor schedules and proactively address delays, changes, cancellations, and customer concerns
Ensure technicians have the information, materials, and documentation needed to complete their work efficiently
Assist with managing seasonal increases in service volume and workload

Customer Service

Serve as a key point of contact for service customers
Handle customer questions, concerns, scheduling requests, and service follow-up
Resolve routine customer issues professionally and escalate complex issues to management when appropriate
Maintain strong customer relationships through clear, timely, and professional communication
Help ensure customers receive accurate information regarding pricing, scheduling, services, and expectations

Billing & Administrative Operations

Oversee accurate and timely invoicing and billing processes
Monitor outstanding invoices and assist with accounts receivable follow-up
Review completed work orders for accuracy and completeness
Process warranty claims and maintain required documentation
Maintain accurate customer records, service histories, and account information
Assist with payment processing, batching, and other administrative financial responsibilities
Ensure service documentation and office records are organized and up to date

Team Leadership & Development

Provide direction, support, and accountability to Service Department administrative staff
Assist with training and onboarding new service office employees
Establish clear expectations and ensure procedures are consistently followed
Identify opportunities to improve employee performance, workflow, and efficiency
Foster a positive, collaborative, team-focused work environment

Systems & Process Management

Maintain accurate information within ServiceTitan, Lightspeed/POS, and other company systems
Ensure service office procedures and processes are followed consistently
Identify inefficiencies and recommend improvements to service workflows
Assist with reporting, department metrics, and tracking key performance indicators
Work with Service and Field Management to improve communication between the office and field teams

Qualifications & Experience

Previous experience managing or supervising an office within a service-based industry is required
Pool industry experience strongly preferred
Experience in HVAC, plumbing, electrical, landscaping, automotive, construction, or another field-service environment will be considered
Strong understanding of scheduling, dispatching, work orders, billing, and customer service
Strong leadership and communication skills
Excellent organizational and time-management abilities
Strong attention to detail and follow-through
Ability to remain calm and professional in a fast-paced, high-volume environment
Comfortable managing multiple priorities and changing schedules
Proficiency with computers, Microsoft Office, and service management software
Experience with ServiceTitan or similar field-service software is a plus

What We’re Looking For

We are looking for a confident, organized, and dependable leader who takes ownership of the Service Office and understands that the success of the department depends on strong communication between customers, office staff, technicians, and management.

The right candidate is someone who can lead people, solve problems, hold others accountable, and keep the office moving forward while maintaining a high level of customer service. Pool service is highly seasonal and fast-paced, so flexibility, adaptability, and the ability to prioritize are essential.

Position Success

Success in this role means having a service office that is organized, responsive, and accountable; technicians who feel supported; customers who receive excellent communication; and administrative processes that are accurate, timely, and consistent.

The Service Office Manager should ultimately allow the Service Manager and Field Management team to focus on field operations and department performance by ensuring the administrative side of the Service Department is running smoothly and effectively.

Pay: $25.00 - $28.00 per hour
