Full Job Description

Legal Assistant

We are seeking an organized, dependable, and detail-oriented Legal Assistant to provide comprehensive support across legal and front desk operations. This role will assist attorneys with case-related tasks and documentation, serve as a professional and welcoming first point of contact for clients and visitors, and help maintain an organized and efficient office. The ideal candidate is proactive, professional, and committed to providing exceptional support to both the legal team and our clients while consistently embodying the firm’s values. This is a full time, non-exempt, hourly role.

Responsibilities:

Legal & Case Support

Provide day-to-day case management and administrative support to the legal team.
Assist with the preparation, organization, and management of case-related materials, including the assembly of case packets.
Review case packets with clients prior to submission to confirm the accuracy and completeness of petitions and supporting documentation.
Communicate client edits, questions, and concerns to the legal team accurately and in a timely manner.
Review, organize, and maintain information and documentation relevant to client matters.
Support the legal department through various stages of case management and preparation, including conducting basic legal and factual research as requested.
Prepare thoroughly for client meetings by reviewing case files and understanding key case details, including the primary applicant, beneficiaries, type of petition, and anticipated next steps following submission.
Maintain accurate and organized case records and documentation.
Perform other legal support duties as needed to facilitate the efficient and effective handling of client matters.

Client Reception & Front Desk Operations

Serve as a professional, welcoming, and helpful first point of contact for clients, visitors, and callers.
Greet clients and visitors warmly and professionally upon arrival.
Respond to inquiries efficiently and direct questions or requests to the appropriate team member.
Receive, organize, and accurately route legal documents and other client materials.
Manage day-to-day front desk responsibilities accurately and efficiently.
Maintain a calm, organized, and professional presence in a busy office environment.
Provide excellent customer service and build positive, professional relationships with clients and visitors.
Maintain confidentiality and exercise discretion when handling client information and firm matters.
Keep the reception area and front office organized, clean, and professional.
Provide administrative and operational support to team members as needed.
Assist with scanning, copying, filing, data entry, and other routine office technology and administrative tasks.
Maintain a positive, team-oriented attitude and contribute to a professional and collaborative workplace.
Consistently uphold and embody the firm’s values, standards, and commitment to providing excellent service to clients and colleagues.

Strong organizational skills and exceptional attention to detail.
Excellent written and verbal communication skills.
Professional, courteous, and client-focused demeanor.
Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
Strong proofreading and document review skills.
Proficiency with standard office technology and willingness to learn new software and systems.

Travel: None required
