Full Job Description

Go Air is looking for a reliable, adaptable, and highly organized Office Coordinator to help manage the day-to-day operations of our HVAC company.

We are a small, family-owned HVAC business licensed by the California Contractors State License Board and have been serving customers for over 25 years. This is not a corporate office environment. Our office operates out of a converted home garage that has been set up as a working office, so applicants must be comfortable working in a casual, small-business environment.

We are looking for someone who can take ownership of the office, stay organized, communicate professionally with customers, and figure things out as situations arise. This position is ideal for someone who is resourceful, dependable, comfortable wearing multiple hats, and does not need constant supervision.

HVAC or construction office experience is strongly preferred. Spanish-speaking applicants are highly preferred.

Responsibilities:

Day-to-day responsibilities may include:

Answering incoming phone calls and assisting customers
Scheduling service calls, appointments, estimates, and installations
Communicating with customers regarding scheduling, project updates, invoices, payments, and general questions
Creating and sending proposals and estimates
Preparing and sending customer invoices
Following up on outstanding proposals, invoices, and payments
Providing excellent customer service by phone, text, and email
Coordinating with technicians, installers, subcontractors, vendors, and customers
Maintaining organized customer records, project information, invoices, and documentation
Ordering equipment, materials, and parts when needed
Assisting with permits, inspections, warranties, and project documentation
Handling basic office administration and daily problem-solving
Following up with customers before, during, and after projects
Helping keep jobs moving forward and making sure important items do not fall through the cracks
Taking initiative when unexpected situations come up and finding practical solutions

Because we are a small business, responsibilities may change depending on the needs of the company. The right person must be flexible and comfortable handling different tasks throughout the day.

Is comfortable working in a fast-moving small-business environment
Understands that every day may be different
Is comfortable working in a home-office/converted-garage setting rather than a traditional corporate office
Is looking for a long-term position and wants to become an important part of a small company

Preferred Experience

Strong preference will be given to candidates with experience in one or more of the following:

HVAC office administration
Construction office administration
Service dispatching or scheduling
Creating estimates and proposals
Customer invoicing and collections
House Call Pro or similar CRM software
Permits and inspections
Customer service
Bilingual English and Spanish communication

Previous HVAC knowledge is strongly preferred because this position involves communicating with customers, technicians, vendors, and contractors about HVAC services, equipment, repairs, installations, scheduling, and project details.

Important Information About Training

This is a hands-on, learn-as-you-go position. Because we are a small business, we do not have a formal corporate training program or a dedicated trainer.

We will provide information, guidance, access to existing systems, and support as needed, but the person in this position must be comfortable learning through real-world situations, asking questions, taking notes, solving problems, and becoming increasingly independent.

We need someone who can eventually take ownership of the day-to-day office operations rather than someone who requires step-by-step direction for every task.
