Position Summary

The Receptionist / Marketing Coordinator serves as the first point of contact for customers and visitors at the Valhalla Yacht Sales Somers Point showroom while providing administrative, sales, and marketing support to the location.

This position is responsible for creating professional and welcoming customer experience, managing incoming communications, assisting the sales team, maintaining customer information and schedules, and supporting marketing efforts through social media and promotional content.

The ideal candidate is friendly, professional, organized, and comfortable interacting with customers both in person and through digital platforms. This position requires strong communication skills, attention to detail, creativity, and the ability to balance front-office responsibilities with marketing and administrative priorities.

Essential Duties and Responsibilities

Reception & Customer Service

Greet customers, visitors, vendors, and business partners in a friendly and professional manner.
Serve as the first point of contact for customers entering or contacting the showroom.
Answer and manage incoming telephone calls and route inquiries to the appropriate Sales Representative or department.
Respond to general customer inquiries and provide basic information regarding the dealership, inventory, and services.
Maintain a professional, organized, and welcoming showroom and reception area.
Provide a high level of customer service consistent with Valhalla Yacht Sales and Viking Yacht Company standards.

Sales & Administrative Support

Manage incoming emails, correspondence, and general office communications.
Enter and maintain accurate customer and prospect information within HubSpot CRM.
Direct incoming sales lead and walk-in customers to the appropriate Sales Representative.
Maintain the sales location calendar, including customer appointments, meetings, deliveries, and other scheduled activities.
Assist Sales Representatives and management with administrative tasks, correspondence, documentation, and customer follow-up as needed.
Help coordinate customer appointments, vessel showings, deliveries, and dealership events.
Maintain organized electronic and physical records as required.
Assist with general office operations and supply needs.

Marketing & Social Media Support

Assist with creating and posting engaging social media content highlighting new listings, inventory, sales, vessel deliveries, service activities, events, and dealership news.
Capture basic photos and video content for use on company social media platforms when needed.
Assist with preparing promotional content and materials in coordination with Sales and Marketing.
Monitor dealership social media activity and help maintain a consistent and professional online presence.
Identify opportunities to showcase inventory, customer deliveries, dealership activities, and other relevant content.
Assist with marketing initiatives, special promotions, boat shows, customer events, and dealership activities.
Coordinate with company Marketing personnel to ensure content and messaging remain consistent with established brand standards.

Operational Responsibilities

Maintain proficiency with Microsoft Office applications, HubSpot CRM, social media platforms, and other company systems.
Assist with coordination of meetings, events, and dealership activities.
Maintain confidentiality of customer and company information.
Communicate effectively with Sales Representatives, management, customers, and other company departments.
Perform additional administrative, customer service, and marketing duties as assigned.

Qualifications

High school diploma or equivalent required; Associate degree or related coursework in Business, Marketing, Communications, or a related field preferred.
Previous receptionist, customer service, administrative, sales support, or marketing experience preferred.
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
Familiarity with major social media platforms and basic digital content creation.
Experience with HubSpot or another CRM system is preferred but not required.
Strong written and verbal communication skills.
Excellent organizational skills and attention to detail.
Ability to manage multiple responsibilities and changing priorities throughout the workday.
Interest or experience in boating, marine products, luxury products, or recreational industries is a plus but not required.

Physical Requirements

Ability to communicate effectively by telephone, email, video conference, social media, and in person.

Work Environment

Work is primarily performed in a professional yacht sales showroom and office environment with frequent interaction with customers, Sales Representatives, management, vendors, and other business partners. The position may occasionally require participation in outdoor dealership activities, vessel showings, customer events, and boat shows.

Work Schedule

Standard Schedule: Monday – Friday, 9:00 am – 5:30pm

Overtime: As required

Other Requirements

Maintain reliable attendance and punctuality.
Maintain a professional appearance appropriate for a customer-facing luxury yacht sales environment.
Maintain confidentiality of customer and company information.
Follow all Valhalla Yacht Sales and Viking Yacht Company policies and procedures.
Ability to work the established Tuesday through Saturday schedule.
Flexibility to assist with occasional dealership events, boat shows, or other business activities outside normal working hours.
Perform other duties as assigned.
