Job Summary:
The Events and Communication Coordinator is responsible for planning, coordinating, and executing all club sponsored events and private events while ensuring an exceptional member and guest experience. The position serves as the primary liaison between members, event hosts, and department heads to coordinate event logistics, menus, and execution.
In addition, this role is responsible for developing and distributing member communications that promote Club events, dining experiences, and programming. This includes designing and distributing event promotional materials, menus, signage, and other member-facing communications that support participation and enhance the overall member experience.
Essential Duties and Responsibilities:
1. MEMBER EXPERIENCE
a. Will keep the member experience as the top priority
b. Collaborates with the General Manager, Clubhouse Manager, Executive Chef, and other department heads to ensure the highest level of member satisfaction
c. Delivers a high level of hospitality through thoughtful event planning, timely communication, and attention to detail
d. Develops interesting ways of promoting Club functions
2. EVENTS
a. Serves as the primary point of contact for club sponsored events and private events, guiding members and hosts through the planning process from initial inquiry through event completion
b. Obtains and maintains all pertinent information, including anticipated attendance, timing, room setup, menu selections, beverage service, entertainment, décor, A/V needs, and other special requests
c. Works collaboratively with department heads to develop event details, menus, pricing, staffing requirements, and operational plans
d. Develops clear event timelines and ensures all necessary details, deadlines, deposits, menu selections, guest counts, and other required information are obtained in a timely manner
e. Creates accurate and comprehensive Banquet Event Orders (BEOs) and distributes them to appropriate department heads
f. Attends and actively participates in weekly F&B meetings to review upcoming events and ensure all departments are properly prepared
g. Designs and coordinates event menus, signage, and other event related materials as needed
h. Serves as the primary point of contact for outside vendors to coordinate décor, entertainment, rentals, vendors, and special requests when applicable
i. Assists in pre-function meetings, event setup, and execution, to ensure the event is delivered according to the BEO and Club standards
j. Ensures event charges, guarantees, and other billing information are accurate and submitted to Accounting in a timely manner
k. Regularly evaluates club events and recommends new concepts, enhancements, or operational changes designed to increase participation and improve the overall member experience
3. COMMUNICATION
a. Develops, designs, and distributes member communications, including event flyers, signage, and registration materials, that promote Club events, dining experiences, programs, and other Club activities
b. Maintains the Club’s online event calendar ensuring event details, registration information, menus, and schedules remain current and accurate
c. Collaborate with F&B team to maintain the Club’s dining reservation system by creating and managing event reservations, blocking appropriate rooms and time periods, and ensuring reservations accurately reflect the Club’s event schedule to prevent booking conflicts
4. ADDITIONAL RESPONSIBILITIES
a. Serves as an ambassador for Redding Country Club by demonstrating professionalism, integrity, and a commitment to exceptional member experience
b. Participates in member and management meetings as required, contributing ideas and solutions that enhance Club operations and the member experience
c. Assists members and guests with special requests and resolves concerns promptly
d. Performs other duties as assigned
5. EXPERIENCE & QUALIFICATIONS
a. Experience in event planning, hospitality, private club, hotel, restaurant, or related customer service environment
b. Ability to coordinate multiple projects simultaneously while meeting deadlines in a fast paced environment
c. Experience with Canva is highly preferred. Experience with Clubhouse Online, JONAS, or other private club management software is a plus
d. Outstanding organizational skills with exceptional attention to detail
e. Strong interpersonal skills with the ability to build positive relationships with members, guests, coworkers, and vendors
f. Commitment to providing exceptional hospitality and delivering a platinum level experience
6. PHYSICAL REQUIREMENTS
a. Ability to stand and walk for extended periods during events
b. Ability to lift and carry up to 25 pounds
c. Must be available to work evenings, weekends, and holidays as required by the Club’s event schedule
Pay: $65,000.00 - $75,000.00 per year
