Full Job Description

Position Summary

The Executive Assistant serves as a trusted partner to the Inventory Leadership Team and acts as the primary point of contact for RV manufacturers and factory representatives. This position is responsible for coordinating inventory-related communications, maintaining vendor relationships, supporting purchasing and allocation processes, and ensuring timely follow-up on inventory initiatives.

The successful candidate will possess excellent administrative skills, strong business acumen, and the ability to build productive relationships with internal stakeholders and external partners.

Responsibilities

Provide direct administrative support to the Inventory Leadership Team.
Manage calendars, meetings, travel arrangements, and departmental schedules.
Prepare reports, presentations, spreadsheets, and inventory-related communications.
Coordinate meetings with factory representatives, vendors, and internal leadership.
Maintain organized records of inventory commitments, allocations, and vendor communications.
Track action items and ensure timely completion of projects and initiatives.
Assist with special projects and strategic initiatives as assigned.
Serve as the primary point of contact for RV manufacturer representatives and key vendor partners.
Develop and maintain positive working relationships with factory personnel.
Coordinate communications regarding inventory availability, production schedules, allocations, pricing, incentives, and special programs.
Monitor factory commitments and follow up on outstanding issues to ensure timely resolution.
Schedule and coordinate factory visits, vendor meetings, and manufacturer events.
Assist in negotiating and administering vendor agreements and programs.
Track vendor performance and maintain accurate records of communications and commitments.
Collaborate with dealership leadership to address inventory concerns and opportunities.
All other duties as assigned.

Minimum Requirements

3+ years of executive assistant, administrative management, vendor relations, inventory management, or similar experience.
Exceptional organizational and project management skills.
Strong written and verbal communication abilities.
Advanced proficiency in Microsoft Office, particularly Excel, Outlook, PowerPoint, and Teams.
Ability to manage multiple priorities while meeting deadlines.

Preferred

Experience working directly with vendors, manufacturers, or supplier representatives.
Knowledge of inventory management systems and reporting tools.
