Administrative Assistant-Join the Ritola Inc. Team

Location: Ashland, Wisconsin

Ritola Inc. is seeking a motivated, organized, and dependable Administrative Assistant to become an integral part of our growing team.

As the first point of contact for our company, you’ll help keep our office running efficiently while supporting our accounting, project management, and field operations. This is an excellent opportunity for someone who enjoys staying organized, solving problems, and making a difference every day.

What You’ll Be Doing

This is a fast-paced position where no two days are exactly alike. Responsibilities include:

· Greeting customers, vendors, and visitors in a friendly and professional manner

· Answering phones and managing company email correspondence

· Organizing and maintaining digital and paper filing systems

· Processing trucking tickets, fuel receipts, invoices, and credit card receipts

· Assisting with accounts payable and accounting functions

· Supporting payroll and employee time tracking

· Preparing bid documents and project paperwork

· Assisting project managers with daily administrative tasks

· Maintaining project records and job cost information

· Coordinating safety documentation and weekly reporting

· Ordering office supplies and maintaining inventory records

· Scheduling employee training and coordinating company apparel

· Assisting with company events and other administrative projects

· Running occasional business errands as needed

What We’re Looking For

The ideal candidate is someone who:

· Is dependable and takes pride in their work

· Has excellent organizational and communication skills

· Enjoys working with people and providing outstanding customer service

· Can manage multiple priorities while maintaining attention to detail

· Is self-motivated and willing to learn

· Has a positive attitude and works well as part of a team

Qualifications

· Administrative or office experience preferred

· Experience with bookkeeping or accounting is a plus

· Proficiency with Microsoft Office (Word, Excel, Outlook)

· Experience with Sage accounting software is helpful but not required

· Construction industry experience is beneficial but not required—we’re willing to train the right individual.
