We are seeking an experienced and highly organized Office Manager to oversee daily operations, support our professional staff, and ensure a smooth client experience.

Job Summary: The ideal candidate will be responsible for managing office procedures, supporting staff and ensuring smooth operation of our office. This role requires excellent communication skills, a strong attention to detail, and the ability to multitask in a fast-paced environment. Pay for this job is based on experience.

Key Responsibilities

Oversee and manage the daily operations of the office
Serve as the first point of contact for clients by phone, email, and in person.
Answer phone calls, respond to emails, and handle correspondence
Coordinate and schedule appointments and meetings
Assist with onboarding new clients, including gathering documentation and maintaining client records in CRM/accounting systems
Maintain office supplies and equipment inventory
Manage office budgets and expenses
Assist with billing, invoicing, and accounts receivable/payable tracking
Provide administrative support during tax season, including document collection and filing deadlines
Support financial planning operations with account applications, transfer paperwork, and compliance documentation.
Develop and implement office policies and procedures
Support and troubleshoot minor technical issues.
Ensure compliance with company policies and regulations

Qualifications

Proven experience as an Office Manager or similar role
Associate's Degree or higher in business administration, accounting, or related field preferred.
Strong organizational skills with the ability to multitask and prioritize tasks
Ability to handle sensitive information with confidentiality.
Strong knowledge of Microsoft Office Suite, QuickBooks, CRM systems, and financial/accounting software.
Excellent communication and interpersonal skills
Attention to detail and problem-solving abilities
Experience in Quickbooks is a plus
Detail-oriented with the ability to manage multiple priorities and deadlines.

Job Type: Full-time

Pay: $16.50 - $21.50 per hour
