Job Overview
We are seeking a versatile and intelligent Accounting & HR Manager to lead critical financial, compliance, and operational processes within our mechanical insulation company. This role demands hands-on management of daily functions—spanning payroll, billing, compliance, and project support—while requiring strategic problem-solving and collaboration with project managers on contracts and compliance documentation. Our operations are highly integrated, with no function operating in isolation, so adaptability and a deep understanding of our business are essential. Key Responsibilities
Payroll:
- Oversee and execute accurate weekly payroll processing using Miter payroll software.
- Manage employee benefits programs including 401K, medical and vision insurance, supplemental benefits, and paid time off.
- Lead new employee onboarding, including benefits enrollment and background clearances.
Compliance:
- Prepare and submit certified payrolls in accordance with regulations.
- Monitor and update prevailing wage rates for NYS, PA, and Davis-Bacon compliance.
- Stay current on prevailing wage laws and compliance requirements to ensure adherence.
- Coordinate annual background checks and drug testing for employees.
- Manage subcontracts and provide insurance and compliance documentation to customers.
- Support annual insurance audits with thorough preparation and documentation.
Accounting:
- Execute accounts receivable and payable tasks with precision.
- Prepare and submit monthly project billings to support cash flow.
- Generate time-and-material project invoices based on project data.
- Develop labor and cost reports for project managers to inform decisions.
- Conduct monthly financial reconciliations to maintain accurate records.
- Perform interim and annual financial reporting for external CPA.
Project Support and Administration:
- Collaborate with project managers on bid preparation, subcontract processing, compliance paperwork, and administrative needs.
- Organize project files for accessibility and accuracy.
- Maintain employee files, ensuring up-to-date information and project-specific clearances.
- Manage registration and insurance renewals for company fleet vehicles.
- Answer phone calls professionally and address inquiries.
- Track and order office supplies to sustain operations.
Qualifications
- Proven experience (5+ years) in cross-functional roles managing financial or operational processes (e.g., business operations, financial coordination, or project management).
- Strong understanding of financial processes, including journal entries, reconciliations, and reporting.
- Exceptional organizational skills and meticulous attention to detail.
- Ability to analyze complex datasets and adapt to evolving priorities.
- Demonstrated problem-solving skills and a track record of independent leadership.
- Proficiency in Miter payroll software, QuickBooks, Excel, Sage or similar tools.
- Clear and professional communication skills, both written and verbal.
