Full Job Description

We are an established, patient-focused single physician psychiatry practice dedicated to providing high-quality, personalized mental health care. Our front office is the heartbeat of our clinic—acting as the vital link between our patients, our doctor, and the community. We pride ourselves on creating a warm, safe, and confidential environment for every individual who walks through our doors.

Part time position. Pay commensurate with experience. Estimate 3 to 3.5 days per week. Single employee office. Broad range of responsibilities including administrative and reception. Seeking a motivated, self-directed individual.

The Role
We are seeking an experienced and empathetic Front Office Manager to oversee daily administrative operations. You will be the first point of contact for our patients, ensuring their experience is smooth, dignified, and stress-free. This is a hands-on leadership role ideal for an organized multi-tasker who thrives in a close-knit, supportive environment.

Key Responsibilities

Patient Experience: Greet patients with warmth and empathy, handle check-in/check-out, and manage sensitive inquiries with the utmost confidentiality.
Practice Operations: Manage the physician’s calendar, coordinate new patient intakes, and patient scheduling.
Billing & Insurance: This is a fee for service practice, with some Workmans Comp billing.
EHR Management: Maintain accurate electronic health records, handle medical correspondence, and process release of information (ROI) requests.
Office Administration: Oversee front office workflows, manage office supplies, and ensure strict compliance with HIPAA and privacy regulations.

Qualifications You Bring

Experience: 3-5 years of medical front office or medical practice management experience. Psychiatry, mental health, or behavioral health experience is highly preferred.
Tech Skills: Proficiency in Electronic Health Record (EHR) systems and Microsoft Office/Google Workspace.
Communication: Outstanding verbal and written communication skills; you must be able to converse professionally with patients, pharmacies, and insurance companies.
Soft Skills: High emotional intelligence, patience, and the ability to maintain a calm and welcoming environment.
