Definition of Position: The ESL Coordinator is responsible for guiding students to achieve ESL proficiency, thereby advancing their employment and educational goals. This role involves coordinating innovative ESL programs, building relationships to motivate students, and developing career pathways that connect them to sustainable job opportunities. Additionally, the ESL Coordinator will manage program data, support managers in reporting, train incoming staff, and lead program coordination and evaluation. The ideal candidate must be bilingual (English/Spanish), flexible, passionate about adult education, and an advocate for students and the mission of the Latino Academy. This position serves both young adults (18-26) and adults (26+), ensuring tailored support for their specific needs. .
Key Responsibility Areas:
A. Program Coordination
- Coordinate innovative ESL programs that address the needs of students.
- Develop working relationships with students to support their academic and professional growth.
- Connect students to career pathways to sustainable job opportunities.
- Manage program data to ensure accurate tracking of student progress.
- Support directors in preparing reports on program outcomes and performance.
- Oversee logistics and execution of ESL classes.
- Facilitate English classes and office hours as needed to support instructors and students.
- Organize orientation materials and introduction packets for all classes.
- Conduct weekly meetings with the program supervisor to update program progress.
- Assist the Director of Education to ensure program outcomes are achieved.
- Lead marketing efforts for ESL programs (flyer creation, social media, recruitment plan, etc.).
- Provide social media content.
- Attend community and recruitment events as assigned.
- Work closely with Madison College and other educational institutions, establishing strong relationships and fluid communication with relevant partner agencies.
B. Promotional and Instructional Workshops
- Plan, design, coordinate, and facilitate workshops that are meaningful to the students’ learning goals and recruitment for the program.
- Identify areas of growth to promote students’ agency in language learning and academic and workforce skills.
- Identify specific needs in the ELL participants and complement ESL classes through workshops tailored to those needs.
- Be knowledgeable of grant requirements to design and deliver workshops or intake sessions that address those grant commitments.
C. Program expansion
- Develop long/term relationships with employers in Workplace ESL programs.
- Identify opportunities to collaborate with employers to expand our offerings of ESL courses.
- Collaborate with the Workforce Development Department to establish relationships with employers to expand partnerships.
- Participate in professional development opportunities in the area of Workplace ESL.
- Support the creation of budget proposals for businesses.
D. Case Management
- Guide students to achieve ESL proficiency, advancing their employment and educational goals.
- Recruit, pre-screen, test, and register new students for Latino Academy’s ESL programs.
- Conduct placement tests, new student orientation, and transitioning student orientation.
- Create academic/career plans with students and establish formal relationships as a case manager.
- Track student progress through diverse programs; collect and enter data in our database.
- Contact students weekly for class reminders, schedule tests, and foster a working relationship.
- Support in the creation of student resumes.
- Conduct students’ Personal Education Plans (PEP).
- Foster student accountability, self-advocacy, self-awareness, and effective use of resources.
- Connect students to employment opportunities before, during, or after graduation/program completion.
- Maintain ongoing relationships with students and follow up 3, 6, and 12 months after exit.
- Solicit student, instructor, and volunteer feedback on program experience.
- Present and/or coordinate workshops on topics that supplement and support instructional curriculum.
E. Administrative Support
- Data entry during registration and ongoing trainings.
- Front desk coverage as needed.
- Assist in special events, such as fundraising activities, career fairs, and graduation ceremonies.
- Assist with reports.
F. Staff Training and Development
- Develop and lead training programs for incoming staff.
- Mentor and support new coordinators and staff members.
- Evaluate training effectiveness and update programs as needed.
- Collaborate with the Director of Education on staff development initiatives.
- Be willing to attend professional development trainings and conferences at state and national levels.
Qualifications and Skills:
- Excellent written and verbal communication skills in Spanish and English.
- Solid knowledge of English grammar to perform student assessments and lead instruction.
- Experience as an instructor or facilitator.
- Proficient in Microsoft Office and Google Drive Suite: docs, spreadsheets, forms…; and ability to learn new software as needed.
- Relevant experience working with the community, adult education, workforce development, and/or diverse populations.
- Associates/Bachelor’s degree or four to six years of relevant work experience.
- TOEFL certificate preferred or other teaching degree, license, or experience.
- Experience working and/or volunteering with nonprofits.
- Ability to work on delegated tasks with minimal supervision, self-motivated, and able to handle several projects at one time.
- Excellent organizational skills and attention to detail. Ability to gather data, compile information and capacity to create, enhance, and systematize tasks to improve the programs.
- Fast learner able to adapt to changing duties based on program needs or new programming.
- Solve problems efficiently through a deep knowledge of the programs administered.
- Calculated risk-taker with an eye for taking the initiative to innovatively grow programs and services.
- Previous success implementing, managing, and evaluating a program including building partnerships, and meeting deadlines.
- Passion for the mission and values of the Latino Academy.
