As the Office Receptionist/Administrator at Higgins & Associates, CPA Inc., you will serve as the first point of contact for clients and visitors, playing a vital role in creating a welcoming and professional environment. This position combines front-desk responsibilities with essential administrative support to ensure the smooth and efficient operation of our accounting office.
You will manage incoming communications, schedule appointments, maintain organized records, and assist with various clerical tasks that support our accounting team. The ideal candidate is detail-oriented, personable, and capable of handling multiple priorities with professionalism and discretion.

Performance Objectives:
· Greet all clients and visitors with professionalism and warmth, ensuring a positive first impression and consistent client satisfaction.
· Answer and route incoming calls and emails, maintaining clear and courteous communication.
· Accurately schedule and confirm all client appointments, minimizing scheduling conflicts and ensuring optimal use of staff time.
· Maintain 100% accuracy in data entry, filing, and document handling to support the integrity of client records and internal operations.
· Keep the front office and common areas clean, organized, and fully stocked with supplies, contributing to a professional work environment.
· Handle all client information in strict accordance with firm privacy policies and industry regulations (e.g., IRS, HIPAA where applicable).
· Provide timely and proactive administrative support to accountants and managers, contributing to team efficiency and project deadlines.
· Demonstrate proficiency in office software (e.g., Microsoft Office, scheduling tools, CRM systems) and adapt quickly to new tools.
· Identify and resolve minor office or client service issues independently, escalating appropriately when necessary.
· Participate in at least one professional development activity per month to enhance skills and contribute to the firm’s culture of excellence.

Education & Experience:
· High School diploma or equivalent
· Previous experience in a receptionist or administrative role
· Excellent communication and interpersonal skills
· Proficiency in Microsoft Office and basic office equipment
· Strong organizational skills and attention to detail
· Ability to maintain confidentiality and professionalism
Physical Requirements:
· Ability to sit for extended periods
· Ability to lift up to 20 pounds
· Manual dexterity for operation office equipment
· Clear vision for reading and computer use
· Ability to communicate verbally and in writing
· Mobility to move around the office and assist clients
