Full Job Description

Administrative Receptionist – CPA Firm

Employment Type: Direct Hire
Schedule: Full-Time | In Person
Pay: $20.00–$25.00 per hour

Position Summary

Our client, a well-established CPA firm, is seeking an experienced, professional, and highly organized Administrative Receptionist.

This position requires someone with a solid administrative or front-desk background who can learn procedures quickly, retain detailed instructions, take accurate notes, and independently complete recurring responsibilities after training.

Previous CPA, accounting, or tax experience is preferred but not required. The firm will provide training on its specialized processes and systems. However, candidates must already possess strong administrative skills, professional judgment, and experience managing multiple responsibilities in a busy office environment.

Responsibilities

Welcome clients and visitors professionally and courteously.
Answer, screen, and transfer calls using a multi-line phone system.
Schedule appointments and maintain calendars accurately.
Monitor emails and prepare professional responses.
Organize, scan, file, and retrieve confidential documents.
Perform accurate data entry and general administrative support.
Track assignments, deadlines, and follow-up items.
Take detailed notes during training and apply instructions consistently.
Proofread documents and correspondence for accuracy.
Coordinate mailings and deliveries through FedEx, UPS, and the post office.
Assist with office supplies and other general office needs.
Complete occasional errands to banks, postal facilities, and local vendors.
Learn the firm’s payroll, tax-document, financial-document, and deadline-tracking procedures.
Prioritize competing responsibilities while meeting deadlines.
Maintain confidentiality when handling sensitive client and financial information.

Qualifications

At least two years of recent experience as a Receptionist, Administrative Assistant, Front Desk Coordinator, Office Assistant, or similar professional office role.
Experience in a CPA, accounting, financial, banking, insurance, legal, or other professional-services office is strongly preferred.
Experience operating a multi-line phone system and assisting clients in person.
Strong information-retention, note-taking, and follow-through skills.
Ability to learn new procedures and apply training with minimal repetition.
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Proficiency in Microsoft Word and Outlook, with basic Excel knowledge.
Accurate data-entry, filing, scanning, and document-management skills.
Dependable, punctual, detail-oriented, and comfortable taking initiative.
Ability to work independently while contributing to a collaborative team.
Valid driver’s license and reliable transportation for occasional local errands.
