Full Job Description

JOB SUMMARY

The Study Start-Up Manager is responsible for leading and coordinating all clinical trial start-up activities from study award through site activation across the network. This role partners closely with internal departments and external stakeholders to ensure start-up milestones are completed efficiently, timelines are met, and sites are prepared for successful study conduct. The Study Start-Up Manager serves as the central point of coordination throughout the study's start-up lifecycle, driving operational excellence, cross-functional collaboration, and continuous process improvement. The employee in this role is expected to have the ability to commute to the Winter Park, FL area and work a hybrid schedule, balancing onsite and remote work in alignment with business needs.

RESPONSIBILITIES

Coordinate and oversee all clinical trial start-up activities from study award through site activation
Collaborate with all staff members involved in the study (e.g., Regulatory, Budget & Contracts, Lead CRCs, study-specific Lead CRCs, Investigators, lab staff, pharmacy staff, EDC staff, QA/QC, etc.) to ensure start-up activities are on track and in accordance with client and internal expectations
Develop, manage, and track study start-up timelines and key milestones to ensure timely site activation
Serve as the primary operational liaison among internal departments during the study start-up process
Participate in study transition activities following site selection and study award to ensure a seamless handoff from Feasibility to Study Start-Up
Oversee and provide assistance for PSV(s) being conducted in other regions
Identify and resolve issues during the pre-award process, escalating complex challenges as necessary
Coordinate post-award study start-up activities and ensure all activation deliverables are completed within established timelines
Communicate with external vendors, including CROs, sponsors, and monitors, on behalf of clinical and operational staff regarding study start-up activities and timeline
Prepare for and host biweekly interdepartmental meetings to review all studies in start-up
Monitor and track interdepartmental progress throughout the study start-up cycle on the Master Study Start-Up Tracker
Monitor status updates in the CTMS Start-Up Checklist
Oversee and participate in formal pre-SIV training of study staff
Ensure study teams have completed required training and start-up activities prior to site activation
Analyze and maintain study start-up data and metrics, ensuring optimal efficiency to reduce start-up timelines and identify opportunities for continuous improvement
Identify, monitor, and mitigate start-up risks that could impact activation timelines
Represent the company and present a professional image to customers, sponsors, CROs, and other stakeholders
Provide regular study start-up status updates to leadership
Support the development and optimization of study start-up processes, tools, and best practices
Perform other duties as assigned

MINIMUM REQUIRED EDUCATION, EXPERIENCE, AND CERTIFICATIONS

Bachelor's degree or equivalent/applicable experience required
3+ years of clinical research experience, with preference given to those with clinical trial start-ups, operations, and logistics experience
Experience working within a site network, CRO, sponsor, or similar clinical research environment preferred
Microsoft Office, specifically Teams, with preference for experience using CTMS platforms and study tracking systems
Ability to commute to the Winter Park, FL area and work a hybrid schedule in alignment with business needs

PREFERRED QUALIFICATIONS

Experience coordinating regulatory, budget, contract, and operational study start-up activities
Experience leading cross-functional teams through the study activation process
Knowledge of clinical research regulations, ICH-GCP guidelines, and site activation requirements
Strong understanding of clinical trial operations within a multi-site research network
Experience analyzing and reporting operational metrics and performance indicators
Demonstrated success driving process improvements and reducing study start-up timelines
Liaison of necessary awarded trial information to Regulatory, Contracts, and Clinical team(s)
Provide weekly/biweekly activity updates to management team

PHYSICAL REQUIREMENTS

Prolonged periods of sitting at a desk and working on a computer
Prolonged periods of standing, bending, and reaching

Pay: $75,000.00 - $90,000.00 per year
