Full Job Description

Job Summary and Position Objective: To warmly welcome, engage, and assist members, guests, and visitors at The Country Club of Orlando. The Front Desk Associate’s primary responsibility will include answering incoming calls and directing them to the appropriate departments as well as efficiently and accurately maintaining the Club’s Dining Reservation system.

Essential Functions:

· Greet members, guests, and all visitors in a welcoming, friendly, and service-oriented manner and assist them with their needs.

· Answer the phone, within three rings, to take reservations, direct calls, and to answer general Club questions.

· Check the Reception voicemail, in a timely manner, and redirect and/or return all calls.

· Participate in a daily line up with their supervisor and memorize all functions happening that day.

· Maintain a neat, orderly Front Desk area, including facilitating mail and package pick-ups from other departments to keep the entire area clean and free of trip hazards.

· Review the most current CCO Booking Report and organize the front desk calendar to coordinate with daily activities.

· Check the Reception mailbox in the Administrative Hallway twice daily and keep an organized and current log of Banquet BEO sheets for reference.

· Print the daily bridge, lunch, dinner, and any needed event reservation sheets while ensuring they reach the appropriate personnel in a timely manner.

· Print and manage the Daily Event Sheet at the Front Door.

· Create the table reservation cards for the dining room, as needed.

· Assist with distributing parking stickers and transponders to the Members, as directed.

· Proactively serves as the information center of the Club. Seeks out information from senior staff members to ensure that any information given to the members and guests is as accurate as possible.

· Assist senior staff members with typing, copying, laminating, mailing, and as directed by the Director of Membership & Communications.

· Assume the role of a CCO engagement support member for Communications, Food & Beverage management team, Catering and Events management team, and other senior staff members, at the direction of the Director of Membership & Communications.

· Ensure that Tee to Tea and business card holders are always full and presentable.

· Manage the Club’s Lost & Found in accordance with Club Policy.

· Order and maintain par levels on Club-wide office supplies.

Required Competencies/Skills:

· Ability to communicate information clearly, concisely, and in a professional manner; both written and verbally.

· Must be polished, well-spoken, and have strong hospitality and people service skills.

· Must maintain composure and objectivity under pressure and be able to effectively implement the Club’s Service Recovery steps, when necessary.

· Must be able to coordinate multiple tasks while maintaining the required standards of operation.

· Must be willing to take initiative and anticipate, prevent, prioritize, identify, and solve problems as necessary to ensure the highest level of service.

· Must be able and willing to comply with all CCO Employee policies, including punctual attendance and first impressions personal appearance standards.

· Attend CCO Employee and departmental meetings as scheduled.

Work Environment: Majority indoor work environment with central A/C. Some time outdoors may be required in the exercise of the duties relating to member and guest services.

Physical Requirements: Must be able to sit for an 8-hour shift and lift, push, pull, and carry 35 lbs. Frequent standing and walking may also be required in order to walk members and guests to their destinations.

Expected Hours of Work: Every Sunday: 9:00a.m. until 5:30p.m.

Education/Training Requirements:

· Ability to efficiently use Microsoft Office Suite Products & Adobe Acrobat.

· The necessary computer competency level to learn new software programs such as the ClubEssentials Reservation Systems and the RingCentral Platform.

Preferred Education and Experience: Communications, hospitality, country club, and/or people service experience in a luxury hospitality environment preferred.
