Location: Hybrid, primarily in-office at our Oviedo, FL office, with some work from home and occasional local errands once established

Pay: Starting at $19 per hour

Job Description

Everest Dental, a busy family dental practice in Oviedo with 30,000+ patients and a 5-star reputation, is hiring a full-time Executive Assistant to be the owner's right hand. After 10+ years of growth, our owner-dentist is stepping back from the chair to run the practice as an owner-operator, and he needs one person to run the day alongside him.

This is a broad, high-trust role. In a given week you might run payroll, track down a KPI that slipped, sit with a vendor on a software migration, keep a build-out project moving, and clear the owner's inbox before he has finished his coffee. It is equal parts executive assistant, operations coordinator, and project driver. If being the person who holds all of that together sounds energizing rather than exhausting, read on.

One thing we want to be clear about up front: this is a hybrid role, but hybrid here means primarily in-office, especially in the first several months, with some work from home and occasional local errands once you are established. Payroll, deposits, team coordination, and being present for the owner are in-office by nature. We would rather say that plainly now than have it be a surprise.

What You'll Do

Keep the owner organized and on track

Manage his calendar, protect his focus time, and schedule meetings
Manage his inbox and follow-ups
Hold him accountable to deadlines and commitments
Break big projects into steps and clear roadblocks

Run day-to-day operations

Run bi-weekly payroll and make weekly bank deposits
Review bills and order supplies
Oversee insurance claims, aging reports, and associate credentialing
Track associate dentist production

Build accountability systems

Own KPI tracking and make sure the team enters their numbers consistently
Create and maintain checklists, spreadsheets, and workflows
Give the owner a clear weekly read on results and problem areas

Move key projects forward

Write SOPs and build the employee handbook
Lead a practice-management software migration
Help steer the search and build-out of a larger location
Coordinate with contractors, vendors, and outside professionals

Light personal support, as needed

Occasional local errands or time-sensitive family logistics
This is about reducing friction, not daily personal service

Must-Have Qualifications

Full-time availability, primarily in-office, Monday through Friday
Highly organized, with strong attention to detail and follow-through
A direct, clear communicator who can hold others accountable
Comfortable learning new systems, spreadsheets, and software quickly
Trustworthy and discreet with confidential and financial information
Reliable transportation, a valid Florida driver's license, and proof of auto insurance
Local to the Oviedo or Orlando area

Nice-to-Have Qualifications

Prior experience as an executive assistant, administrative assistant, or office coordinator
Experience in a dental, medical, or healthcare practice
Familiarity with payroll, bookkeeping, or KPI tracking
Experience with project management tools (Asana, Trello, Monday, etc.)
