Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance team productivity, and ensure smooth communication across departments. The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to managing administrative tasks. In this position, you will be the backbone of our office environment, providing exceptional support that keeps everything running seamlessly. Responsibilities

Manage multi-line phone systems with professionalism, ensuring clear and courteous communication at all times
Handle front desk duties including greeting visitors, answering inquiries, and directing calls efficiently
Maintain organized filing systems both digitally and physically, ensuring easy retrieval of documents
Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
Support office management activities, including calendar management, scheduling appointments, and coordinating meetings
Provide excellent customer service by supporting clients, vendors, and internal teams with prompt and friendly assistance
Proofread correspondence, reports, and other documents for accuracy and clarity
Perform clerical duties such as photocopying, faxing, mailing, and maintaining supplies

Experience

Proven office experience with a strong background in administrative support roles
Familiarity with office management procedures and organizational skills that enhance productivity
Technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools
Experience with bookkeeping software like QuickBooks or similar platforms is highly desirable
Previous roles involving customer service or front desk responsibilities demonstrate excellent phone etiquette and professionalism
Strong typing skills with attention to detail for proofreading and document accuracy
Ability to manage time effectively in a fast-paced environment while maintaining high-quality work standards
