Administrative & Accounting Assistant (Part-Time)
Location: Othello, WA
Pay: $18.00–$21.00 per hour DOE
Schedule: Part-Time (approximately 20–30 hours per week)
We are a growing accounting firm dedicated to providing high-quality tax, accounting, bookkeeping, and payroll services to individuals and businesses. We are seeking a reliable, organized, and detail-oriented Administrative & Accounting Assistant to support our Firm Owner and Staff Accountant while helping ensure the smooth day-to-day operation of our office.
This position is ideal for someone who enjoys a variety of responsibilities, has strong organizational skills, and is interested in learning and growing within an accounting environment. We are willing to train the right candidate who demonstrates professionalism, initiative, and a willingness to learn.
Position Summary
The Administrative & Accounting Assistant will provide administrative support to the Firm Owner and Staff Accountant, assist with bookkeeping and billing functions, and provide backup support for the firm's secretary as needed. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple tasks in a fast-paced office environment.
ResponsibilitiesExecutive & Accounting Support
- Provide administrative support to the Firm Owner and Staff Accountant.
- Assist with scheduling appointments, managing deadlines, and coordinating client communications.
- Prepare correspondence, reports, engagement letters, and other business documents.
- Organize and maintain client records, files, and confidential information.
- Track project status, client deliverables, and filing deadlines.
- Assist with workflow management during tax season and other peak periods.
- Coordinate special projects and provide administrative support for firm initiatives.
- Support accounting staff with administrative and accounting-related tasks as needed.
Bookkeeping & Billing Support
- Enter and maintain financial transactions in accounting software.
- Assist with accounts payable and accounts receivable functions.
- Prepare and process client invoices and billing statements.
- Monitor outstanding invoices and assist with collections follow-up.
- Reconcile bank and credit card statements.
- Maintain accurate financial records and supporting documentation.
- Assist with monthly, quarterly, and year-end bookkeeping procedures.
- Gather, organize, and maintain client financial information.
Payroll Support
- Assist with payroll processing and payroll-related administrative tasks.
- Maintain payroll records and supporting documentation.
- Verify payroll information for accuracy.
- Assist with year-end and quarterly payroll reporting and related documentation.
- Respond to routine payroll-related inquiries as directed.
Client Service & Office Administration
- Communicate professionally with clients regarding document requests, billing matters, and administrative inquiries.
- Answer phones, route calls, and respond to general inquiries.
- Manage incoming and outgoing mail and electronic correspondence.
- Maintain office cleaning and organization.
- Coordinate meetings and maintain conference room schedules.
- Perform filing, scanning, copying, and other clerical duties.
Secretary Backup Responsibilities
- Provide front desk and receptionist coverage during secretary absences, vacations, and lunch periods.
- Greet clients and visitors in a professional and welcoming manner.
- Assist with appointment scheduling and front-office operations as needed.
- Ensure continuity of administrative functions when primary secretarial support is unavailable.
QualificationsRequired
- High school diploma or equivalent.
- Strong organizational, communication, and time management skills.
- Proficiency in Microsoft Office, including Excel, Word, and Outlook.
- Ability to maintain confidentiality and handle sensitive financial information.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and work independently.
- Professional demeanor and strong customer service skills.
- Willingness to learn bookkeeping, accounting, and payroll support functions.
Preferred
- Experience in an administrative, office support, bookkeeping, or accounting-related role.
- Experience with QuickBooks and QuickBooks Online.
- Knowledge of bookkeeping principles and basic accounting procedures.
- Experience working in a professional office environment.
- Familiarity with payroll software and payroll tax reporting.
