Overview

We are seeking a dynamic and highly organized Office Manager in the construction industry to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and enhance overall productivity. The ideal candidate will bring enthusiasm, exceptional organizational skills, and a proactive attitude to ensure our office runs smoothly and efficiently. This paid position provides a chance to develop your administrative expertise while contributing to a vibrant and collaborative work environment.

Responsibilities

Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing excellent customer service.
Process and track construction contracts, RFIs, submittals, purchase orders and change orders
Perform data entry tasks accurately using spreadsheets, Microsoft Office, Google Workspace, and other productivity software.
Handle calendar management and scheduling for team members, ensuring appointments and meetings are well-organized.
Maintain filing systems, both physical and digital, ensuring documents are properly organized and easily accessible.
Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking.
Assist with office management tasks such as ordering supplies, coordinating maintenance requests, and managing office equipment.
Provide clerical support including proofreading documents, word processing, and preparing reports or correspondence with attention to detail.

Experience

2 to 5+ years of administrative or bookkeeping experience, preferably within the construction industry.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
Bilingual abilities is a plus to support diverse client communication needs.
Familiarity with office management tasks such as calendar coordination, filing systems, and customer support functions.
Demonstrated organizational skills with the ability to prioritize tasks effectively while maintaining high productivity levels.
