Overview

We are seeking a dynamic and highly organized Executive Assistant to provide exceptional administrative support to senior executives. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and handling confidential information with professionalism and discretion. The ideal candidate will thrive in a fast-paced environment, demonstrate proactive problem-solving skills, and possess a passion for facilitating executive success through meticulous organization and effective communication.

Responsibilities

Manage and coordinate busy calendars, including scheduling meetings, appointments, and business travel arrangements using Microsoft Outlook Calendar and other productivity software.
Provide comprehensive executive administrative support by preparing reports, proofreading documents, transcribing notes, and managing correspondence with precision.
Organize and facilitate events, meetings, and conferences from planning stages through execution, ensuring all logistics are handled seamlessly.
Handle internal communication efficiently across teams and departments to ensure alignment on projects and initiatives.
Oversee office management tasks such as filing, data entry, managing multi-line phone systems, and maintaining confidential records with utmost discretion.
Assist with bookkeeping activities using QuickBooks or similar accounting tools, including invoicing, expense tracking, and basic bookkeeping duties.
Coordinate project activities by collaborating with various stakeholders to meet deadlines and deliverables while maintaining high standards of quality.
Support business travel arrangements by booking accommodations, transportation, and preparing itineraries for executives on the go.

Requirements

Proven experience as an executive assistant or personal assistant supporting C-suite executives in a fast-paced environment.
Strong organizational skills with the ability to prioritize tasks effectively and manage multiple projects simultaneously.
Excellent written and verbal communication skills coupled with professional phone etiquette.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), productivity software, video conferencing tools (such as Zoom or Teams), and technical proficiency in office equipment.
Experience with calendar management tools like Microsoft Outlook Calendar or similar scheduling platforms.
Demonstrated ability to handle confidential information discreetly while maintaining a high level of professionalism.
Skilled in event planning, project coordination, bookkeeping (QuickBooks preferred), data entry, proofreading, transcription, and office management tasks.
Ability to work independently with minimal supervision while collaborating effectively within a team environment.
Strong technical skills including familiarity with DocuSign for electronic signatures and internal communication platforms.
